[SG/MY] How to Settle Card Payments on Your QashierPay Terminal (Auto & Manual)

To help merchant better understand how settlement works

Settlement closes the day's batch of card payments on your QashierPay terminal so that the card sales can be paid out to you. This guide explains automatic settlement, how to settle manually, and how to reprint the last settlement report.

Applies to: Singapore and Malaysia · QashierPay card terminals that run the QashierPay app (Visa/Mastercard and American Express terminals in Singapore, Visa/Mastercard/MyDebit terminals in Malaysia) · no special access needed.

Before you start

  • The terminal must be connected to the internet (Wi-Fi or SIM) to settle, whether automatically or manually.

  • Void first, then settle. A card payment can only be voided before its batch is settled. See How to Void or Refund a Card Payment (QashierPay) in Qashier POS.

  • Keep a receipt roll in the terminal if you want the settlement report to print.

Automatic settlement

Automatic settlement is set up for you by Qashier Support. Contact support to switch it on or off, and tell them the days of the week and the times of day you want the terminal to settle.

At each scheduled time, a Settlement pop-up appears on the terminal with the message "Settlement will be auto triggered in 10 seconds".

  • Tap Settle Now to settle straight away.

  • Tap Remind in 5 mins to postpone. The pop-up comes back after 5 minutes, and keeps coming back every 5 minutes for up to 30 minutes after the scheduled time. After that, the terminal waits for the next scheduled time. You can settle manually at any point (see below).

  • If you do nothing, settlement starts by itself when the countdown ends.

Note: even if you have not set up automatic settlement, the terminal will prompt you to settle when it holds card payments that have not been settled for more than 36 hours.

Manual settlement

  1. On the Qashier POS home screen of the terminal, tap Manual Settlement. The same button is available on the Standby for payment page if your terminal is paired with a separate POS.

  2. At "Do you want to proceed to do settlement?", tap Yes.

  3. Wait for the terminal to process the settlement. It shows whether the settlement succeeded or failed.

You can also settle from the QashierPay app: tap the menu icon at the top right of the home screen, tap QashierPay, then tap Settlement.

What you should see

The terminal shows the result of the settlement (successful or failed).

If there is enough receipt roll in the terminal, a settlement report prints automatically.

To check when the terminal last settled, open the QashierPay app (menu icon > QashierPay) and tap Overview. It shows the terminal status, including the date and time of the last settlement.

How to reprint the last settlement report

  1. Tap the menu icon at the top right of the home screen, then tap QashierPay.

  2. Tap Print Last Settlement.

Note: only the most recent settlement report can be reprinted. Reports for earlier settlements are not available from the terminal.

Retry Settlement – "The previous settlement encountered issues and was unable to be completed. Please ensure that you have stable internet connection and RETRY the settlement."

The last settlement attempt did not complete, usually because the terminal lost its internet connection.

Check the Wi-Fi or SIM connection, then tap Retry.

Settlement Error – "Unfortunately, we encountered errors during the settlement process. Please try again later while ensuring a stable internet connection."

The settlement failed again after retrying.

Make sure the connection is stable and settle manually a little later. If it still fails, contact support.

"Failed to void - settlement already completed." when voiding a card payment

The payment is in a batch that has already been settled.

No settlement pop-up appears at the scheduled time

Automatic settlement is not set up for this terminal, the terminal has no unsettled card payments, or it is not online.

Settle manually, or contact support to check your automatic settlement schedule.
