How to Configure QashierEats Settings for Delivery and Pick-up Orders in QashierHQ

Overview of QashierEats settings for delivery and pick up orders:

To setup QashierEats settings in QashierHQ:

  1. Go to QashierHQ

  2. Click on the gear icon (settings) on the top-right hand corner of the page

  3. Select QASHIEREATS tab

    Note: if you have more than 1 QashierEats store, you can select the store where you would like to make changes to

We will utilize the following QashierEats settings for delivery and pick-up orders in QashierHQ to illustrate each function and its corresponding use case.


Part A: Available order type for QashierEats

The highlighted URL link is your official QashierEats website that can be shared on social platforms, ads, posters, and more. If you need to change the URL link, please reach out to our customer service for further assistance.

You have two order types available on your QashierEats website: Pick-up and Delivery. Choose the option(s) that you want to make available for your customers to place their orders.


Part B: Available order type for in-store QR ordering

The available order types for in-store QR ordering are dine-in and takeaway. Customers can choose to dine-in and place their orders using the QR code provided, or they can opt for takeaway, where they order through the QR code and collect their food to consume elsewhere.

Select the option(s) that best suit your business model, depending on whether your F&B establishment is exclusively for dine-in, takeaway, or both dine-in and takeaway services.


Part C: Auto apply discount for pick up order (%)

These options allow customers to enjoy discounts for pick-up orders. When customers place a pick-up order through QashierEats, they will automatically receive the discount.

Set value to "0" if you would like to disable auto apply discount function


Part D: Accept order buffer time and Minimum preparation time

Accept order buffer time is the lead time for you to accept an order from QashierEats.

Minimum Preparation Time

Minimum preparation time refers to the minimum amount of time required to prepare an order before it can be picked up or delivered to the customer. It represents the minimum time needed to process and prepare the items in the order, ensuring that they are ready for pick-up or delivery.

Both Accept order buffer time and Minimum Preparation Time will affect the pick up and delivery time slot in QashierEats

Pick-up time slot in QashierEats:

In this example, let's assume that the Accept Order Buffer Time is set to 5 minutes and the Minimum Preparation Time is set to 10 minutes.

When a customer places an order at 11:00 am, the Accept Order Buffer Time will be added, making the effective start time for order processing 11:05 am. After considering the Minimum Preparation Time of 10 minutes, the expected completion time for meal preparation will be 11:15 am (11:05 am + 10 minutes).

On the QashierEats website, the next available time slot for customer pick-up will be from the 11:30 am time slot onwards, ensuring that the order is ready for collection by that time. This allows for a buffer between the expected completion time and the available pick-up time, providing sufficient time for order preparation and ensuring a smooth customer experience.

In this example, let's assume that the Accept Order Buffer Time is set to 5 minutes and the Minimum Preparation Time is set to 10 minutes.

When a customer places an order at 2:16 pm, the Accept Order Buffer Time of 5 minutes is added, resulting in an effective start time for order processing at 2:21 pm (2:16 pm + 5 minutes). Considering the Minimum Preparation Time of 10 minutes, the expected completion time for meal preparation will be 2:31 pm (2:21 pm + 10 minutes).

On the QashierEats website, the next available time slot for customer pick-up will be from the 3:00 pm time slot onwards. The reason why the "2:00 pm - 2:30 pm" time slot is not available is because the food will only be ready for pick-up after 2:30 pm due to the minimum preparation time. This ensures that the customer cannot choose a time slot that falls before the expected completion time, maintaining the accuracy of the pick-up schedule.


Delivery time slot in QashierEats:

In this example, let's assume that the Accept Order Buffer Time is set to 5 minutes and the Minimum Preparation Time is set to 10 minutes.

When a customer places an order at 11:00 am, the Accept Order Buffer Time of 5 minutes is added, resulting in an effective start time for order processing at 11:05 am (11:00 am + 5 minutes). After considering the Minimum Preparation Time of 10 minutes, the expected completion time for meal preparation will be 11:15 am (11:05 am + 10 minutes).

The estimated delivery time is set to be 25 minutes, which means the order will be delivered by 11:40 am. The next available time slot for customers to place orders will be from the 12:00 pm time slot onwards.

To calculate the time when you receive the order, you need to subtract the delivery time and preparation time from the chosen delivery slot. In this case, the chosen delivery slot is 12:00 pm. Subtracting the delivery time of 25 minutes, the time would be 11:35 am. Then, subtracting the preparation time of 10 minutes, the time would be 11:25 am. This is the time when the kitchen will print the order to inform you that the food is ready for preparation.


Part E: Max number of orders per time slot

This is the total (maximum) number for both delivery and pick-up orders that can be accepted per time slot. Each time slot is 30mins. The picture below shows the interval for each time slot for each day is 30mins (highlighted in orange box)

We will further explain on this for Part G: Configure time slots as they are interrelated.


Part F: Selectable days for pick-up

This indicates the advance order window for pick-up orders, which in this case is set to 5 days.

For example, let's say today's date is January 1st. On QashierEats, customers will be able to select a pick-up date within the available date range of January 1st to January 5th. This means that customers can place their pick-up orders in advance for any date within this 5-day window.


Part G: Configure time slots

This options allows you to set your desired pick-up and delivery time slots.

  1. Go to QashierHQ

  2. Click on the gear icon (settings) on the top-right hand corner of the page

  3. Select QASHIEREATS tab

    Note: if you have more than 1 QashierEats store, you can select the store where you would like to make changes to

  4. Select CONFIGURE TIME SLOTS

  5. Click on the necessary time slots

  6. Click CONFIRM on the top-right hand corner once the above steps are completed

In this example, we have set the following pick-up and delivery time slot options:

  1. Pick-up and delivery are available every day.

  2. The available pick-up and delivery time slot is from 11:30 am to 2:00 pm.

Customers will be able to select any time within this specified range for pick-up or delivery of their orders.

Here's a step-by-step video guide:

While configuring the time slots, there are some additional options you may want to consider as well.

Option 1: Autofill Max Order Per Slot

  • Enabled: Delivery orders will be automatically assigned to the available time slots.

  • Disabled: You will need to manually assign delivery orders to each time slot.

Option 2: Maximum Order for Delivery

  • This setting allows you to define the maximum number of delivery orders per time slot.

  • The number displayed in each time slot consists of two digits:

    • The left digit represents the maximum total number of orders (both delivery and pick-up) that can be accepted in that time slot, as set in Part E of this article.

    • The right digit represents the maximum number of delivery orders specifically that can be accepted in that time slot.

Example:

This shows maximum orders you can accept is 30.

Out of 30 orders, all of them are cater for delivery orders

This shows maximum orders you can accept is 30.

Out of 30 orders, only 5 orders are cater for delivery orders. The rest of 25 orders are cater for pickup orders.

You have the flexibility to adjust the maximum order for delivery based on different situations. For instance, if you encounter delivery issues with your delivery partner and are unable to fulfill all delivery orders, you may choose to reduce the maximum order for delivery for a specific time period until the issues are resolved. This allows you to manage the order volume effectively and ensure a smooth customer experience.

From our previous example, we now want to reduce the maximum number of delivery orders from 30 to 5 orders, and the time period is from 11.30 am - 2:00 pm due to delivery issue, here's how you want to configure your time slots:

  1. Go to QashierHQ

  2. Click on the gear icon (settings) on the top-right hand corner of the page

  3. Select QASHIEREATS tab

    Note: if you have more than 1 QashierEats store, you can select the store where you would like to make changes to

  4. Select CONFIGURE TIME SLOTS

  5. Change Maximum Order for Delivery from 30 to 5

  6. Deselect the necessary time slots and re-select the time slot again to make changes

  7. Click CONFIRM on the top-right hand corner once the above steps are completed

Part H: Configure closed dates

This option enables you to select specific dates on which your business will not accept pick-up or delivery orders through QashierEats

  1. Go to QashierHQ

  2. Click on the gear icon (settings) on the top-right hand corner of the page

  3. Select QASHIEREATS tab

    Note: if you have more than 1 QashierEats store, you can select the store where you would like to make changes to

  4. Select CONFIGURE CLOSED DATES

  5. Choose the date(s) on which you wish to suspend the acceptance of orders through QashierEats

  6. Once done, click on CONFIRM

Here's a step-by-step video guide:

To remove the dates you have chosen, simply repeat Steps 1 to 5, and click on the delete button for the dates you want to resume QashierEats operation. Once done, select CONFIRM


Part I: Minimum and maximum order value

The minimum order value refers to the minimum amount that a customer must meet in order to place an order through QashierEats.

The maximum order value refers to the maximum amount that a customer can place for each order through QashierEats.


Part J: Configure delivery settings

We will utilize the following QashierEats settings for delivery orders in QashierHQ to illustrate each function and its corresponding use case.

i. Delivery Type

There are two options to choose from:

  1. Self-arrange: You will be responsible for arranging your own delivery to fulfill the orders and deliver them to your customers.

  2. PandaGo: This option is an integrated Pandago delivery model. Please note that this delivery option is only available after signing up. If you are interested in signing up with PandaGo, please contact our customer service team for assistance.

ii. Auto apply discount for delivery order (%)

This option enables customers to enjoy discounts on delivery orders placed through QashierEats. When customers place a delivery order, they will automatically receive the applicable discount.

To turn off this automatic discount function, simply set the value to "0".

iii. Delivery Fee

If you have PandaGo integration enabled, you can choose to set the delivery fee to be the same as PandaGo's fee.

If not, you have three other options to choose from for the delivery fee:

  • Fix fee for different order amounts ($)

The delivery fee will remain fixed at the amount you have set, regardless of the order total.

  • Different fee for different order amounts

You can set different delivery fees based on the order amount.

In this example, for orders ranging from $0 to $20, the delivery fee is $5.

For orders ranging from $20 to $50, the delivery fee is $3.

For orders exceeding $50, the delivery fee is waived (free).

  • Different fee for different delivery distance

You can set different delivery fees based on the delivery distance from your business premises to the customer's address. The distance will be calculated automatically based on the address provided by the customer, relative to your business address.

In this example, for delivery distances ranging from 0 km to 5 km, the delivery fee is $3.

For delivery distances ranging from 5 km to 10 km, the delivery fee is $5.

For delivery distances exceeding 10 km, the delivery fee is $8.

iv. Apply free delivery threshold amount?

You can enable this option so that if the order amount exceeds the threshold you have set, the delivery fee will be waived for your customers.

v. Max delivery distance

You can set a maximum delivery distance. If the distance between your customer and your premises exceeds the limit you have set, the customer will receive a message on the QashierEats website indicating that they are out of the delivery range, as shown in the image below.

NOTE: every changes you have make, make sure to click CONFIRM to save changes
