How to Add, Edit and Delete Ingredients in QashierHQ

Summary: The Ingredient tab in QashierHQ is where you create the ingredients your dishes use (with unit, stock on hand and cost per unit), see which ones are running low, and edit or delete them. Once an ingredient is assigned to a product, every sale deducts it automatically.

Applies to: Singapore, Malaysia, Thailand, Philippines, Australia · QashierHQ · F&B stores with the Ingredient Management add-on turned on (Qashier Marketplace). Ingredients can also be created on the POS: How to Create, Edit or Delete Ingredients on Qashier POS.

Before you start

Open the Ingredient tab

  1. Log in to QashierHQ.

  2. In the left menu, under Products & Inventory, click Inventory / Ingredient.

  3. Click the Ingredient tab.

  4. If you have more than one store, choose the store in the store picker at the top of the page.

This article describes the default layout. If you switched to the older layout with Switch to classic UI, click Switch to modern UI to get back to the screens described here.

What is on the page

  • Summary cards: Total tracked, Healthy stock, Low stock and Out of stock count your ingredients by status.

  • Search and filter: type in the search box, or filter by status (All statuses, Healthy, Low stock, Out of stock).

  • Columns: Ingredient Name, Ingredient Unit, Status, In Stock, Threshold (the low-stock alert level), Unit Cost and Stock Value (Unit Cost × In Stock).

  • Buttons: Add Ingredient creates a new ingredient. Export downloads the list as a CSV file. Product View opens the product list, where you assign ingredients to products.

  • Side panel: click an ingredient's name to open its panel. It shows In stock, Threshold, Unit cost and Stock value, a Stock action form, and the Stock history. The pencil icon (Edit ingredient) and the bin icon (Delete ingredient) sit in the panel header, next to Assign Ingredient.

Add an ingredient

  1. Click Add Ingredient at the top right of the Ingredient tab.

  2. In the first field (labelled Add Ingredient), type the ingredient's name, for example Sugar.

  3. Enter the Quantity you have in stock now. This field is required: enter 0 if you will record the stock later with Stock Received (+).

  4. Enter the Ingredient Unit, for example gram, ml, Can or Cup. Every stock figure and deduct ratio for this ingredient uses this unit.

  5. Optional: enter the Cost per unit in your store currency (see Note 1).

  6. Click Confirm.

The new ingredient appears in the list. Next, assign it to the products that use it: How to Assign Ingredients to Products (Deduct Ratio) in QashierHQ.

Note 1: Cost is the cost per ingredient unit. If the unit is kilograms, enter the cost of one kilogram. Example: Sugar with unit gram, Quantity 10,000 and Cost 0.001 shows a Stock Value of 10.00 in your store currency (0.001 × 10,000).

Edit an ingredient (name, unit or cost)

  1. Click the ingredient's name in the list. The side panel opens.

  2. Click the pencil icon (Edit ingredient) in the panel header.

  3. In the Edit Ingredient dialog, change the Ingredient Name, Ingredient Unit or Cost.

  4. Click Confirm.

To change the stock quantity or the low-stock threshold, use Stock action in the panel instead: How to Update Ingredient Stock and Set Low-Stock Alerts in QashierHQ.

Delete an ingredient

  1. Click the ingredient's name in the list.

  2. Click the bin icon (Delete ingredient) in the panel header.

  3. In the Confirm Delete dialog, click Confirm.

Warning: this cannot be undone. Before you delete, open Product View to see which products use the ingredient and update their recipes: How to Assign Ingredients to Products (Deduct Ratio) in QashierHQ.

What you should see

  • The new or edited ingredient appears in the list with its Status: Out of stock when In Stock is 0 or less, Low stock when it is at or below the Threshold, otherwise Healthy. An ingredient added with Quantity 0 shows Out of stock.

  • The Stock history in the panel records every stock action and every sale.

  • The same ingredient appears on Qashier POS under Inventory Management > Ingredients.
