Summary: Ingredient Management deducts ingredient stock automatically every time you sell a product that has ingredients assigned to it. This article explains how the deduction works and walks through a worked example on Qashier POS.
Applies to: All markets · Qashier POS (ingredients can also be managed in QashierHQ) · Ingredient Management add-on (turned on from Qashier Marketplace in QashierHQ).
Not sure whether you need product-level stock or ingredient-level stock? See Inventory Management vs Ingredient Management: Which Should I Use?
Before you start
Turn on Ingredient Management for your store (see How to Add Features and Manage Your Plan in Qashier Marketplace (QashierHQ), or contact support). The Ingredients button in Inventory Management only appears when it is on.
Create your ingredients: How to Create, Edit or Delete Ingredients on Qashier POS.
Assign each ingredient to the products that use it, with a deduct ratio: How to Assign, Edit or Remove Product Ingredients on Qashier POS.
How the deduction works
Each product carries a list of assigned ingredients. Each entry has a deduct ratio in the ingredient's own unit (for example 100, when Sugar is tracked in grams).
When a sale is completed, the POS deducts item quantity × deduct ratio from every ingredient on the product.
Each deduction is recorded in the ingredient's Stock History as Invoice Sale.
Example: selling two sugar products
Set-up: the ingredient Sugar has 10,000 g in stock. The product Sugar 100g has Sugar assigned with a deduct ratio of 100, and the product Sugar 500g has Sugar assigned with a deduct ratio of 500.
In Ingredient Management on the POS, the two assignments look like this:
Sugar assigned to the product Sugar 100g with a deduct ratio of 100
Sugar assigned to the product Sugar 500g with a deduct ratio of 500
Make the sale
Tap POS & Payment.
Find the two products. In this example they sit in the demo store's RAW MAT tab, Sugar category; your own tabs and categories will differ.
Tap Sugar 100g, then Add.
Tap Sugar 500g, then Add & Close.
Tap Pay at the bottom right.
Choose any payment method. In this example, Cash.
Key in the amount received and tap Confirm.
Tap Back to POS.
Check the stock
Tap Back at the bottom of the screen to open the POS menu.
Tap Inventory Management.
Tap the Ingredients button in the row below the Inventory Management title.
Sugar now shows 9,400 g: 10,000 − (1 × 100) − (1 × 500).
Tap Sugar to open its stock panel. Under Stock History you see two Invoice Sale entries, −100 and −500.
The GIFs above were recorded on an older version of the Inventory Management screen. The Ingredients button has replaced the icon at the top right; the other steps are unchanged.
Voids and refunds
When you void a sale that contains products with assigned ingredients, the POS asks Would you like to add back the ingredient of the voided items? Confirm to put the ingredients back into stock, or decline to leave the stock as it is. See How to Void or Refund a Transaction in Qashier POS.
Chain stores and QashierHQ
Chain stores: ingredients and their product assignments are shared across the chain, but each store keeps its own stock. See How Ingredient Management Works with Chain Store Management (Multi-Store).
QashierHQ adds ingredient cost, stock value, low-stock thresholds and a CSV export: see How to Add, Edit and Delete Ingredients in QashierHQ and How to Set Up Low Stock Alerts (POS, QashierHQ and Email).
If something goes wrong
Symptom | Likely cause | What to do |
Stock did not go down after a sale | The product has no ingredient assigned, or Ingredient Management is not turned on | Check the product under Assign in Ingredient Management and assign the ingredient |
Stock went down by double the amount | The same ingredient is assigned to the product twice | Remove the duplicate row: see How to Assign, Edit or Remove Product Ingredients on Qashier POS |
No Ingredients button in Inventory Management | Ingredient Management is not turned on for this store | Turn it on in Qashier Marketplace in QashierHQ, or contact support |
