How to Manage Payment Methods on Qashier POS and QashierHQ

Managers can easily add a payment method in the Qashier Smart Terminal

Choose which payment methods your staff see on the Qashier POS Payment screen. You turn manual payment methods (such as Visa, NETS, PayNow or Voucher) on or off in QashierHQ, and you can switch methods off, or edit and delete older custom methods, on Qashier POS.

Applies to

  • Markets: Singapore, Malaysia, Philippines and Thailand. The methods on offer differ by market (see the table below).

  • Product: QashierHQ (web) and Qashier POS.

  • Access: your QashierHQ login needs access to Settings. On Qashier POS you need the Terminal PIN, if one is set.

Important: you can no longer create new custom payment methods (for example "ShopBack") on Qashier POS. The Add Payment Method button has been removed. If you need a payment method that is not in the list below, contact Qashier Support.

Before you start

Turn manual payment methods on or off in QashierHQ

  1. Log in to QashierHQ at hq.qashier.com.

  2. Click the Settings (gear) icon at the top right. On a phone, tap your account icon, then tap Settings.

  3. Under Store, click Additional Settings.

  4. Choose the store at the top of the page.

  5. Click Payment Settings in the list on the left, or scroll down to the Payment Settings (Manual) card.

  6. Tick each method you want staff to see on the Payment screen. Untick a method to hide it. Each change saves right away, and you see "Successfully updated Payment Settings".

  7. On Qashier POS, go back to the home page so the latest settings sync.

  8. Make a small test sale and check that the method appears on the Payment screen.

A few items work differently:

Payment Management on Qashier POS

The Payment Management screen on Qashier POS lists the payment methods that are turned on for your store.

  1. On the Qashier POS home screen, tap the menu icon (☰).

  2. Tap Settings.

  3. Enter your Terminal PIN if asked.

  4. Tap Payment Management.

What you can do on this screen:

  • Switch a method off: turn off its switch to remove it from the Payment screen. The method then disappears from this list. To turn it back on, tick it again in QashierHQ (see above).

  • Cash: when you switch Cash off, it stays in the list and shows "(Hidden from main view)".

  • Grey switch you cannot move: this is an automatically confirmed QashierPay method. You cannot switch it off here. Contact Qashier Support if you need it off.

  • Apply, Pending or Processing button: shows the status of your QashierPay application for that method. Tapping Apply opens QashierHQ. In Malaysia, tapping Apply next to Visa/Mastercard sends your application to Qashier instead. See [SG/MY] How to Apply for QashierPay Payment Services in QashierHQ.

  • Pencil icon: shown next to a custom payment method your store created earlier. See the next section.

Edit or delete a custom payment method

This applies only to custom methods your store created before the Add Payment Method button was removed. You cannot create a new one on the POS, so delete a custom method only if you are sure you no longer need it.

To edit a custom method:

  1. Open Payment Management (steps above).

  2. Tap the custom method, or the pencil icon next to it. The Edit Payment Method box opens.

  3. Change the Payment method name if needed. Use letters, numbers and spaces only, and don't use the name of a built-in payment method (such as Visa or Cash).

  4. Optionally, add or change the QR code link (optional). To get the link, scan your payment QR code with your phone and copy the link from the browser address bar. When staff choose this method, the POS shows this QR code on the customer display.

  5. Tap Confirm.

To delete a custom method:

  1. Open Payment Management (steps above).

  2. Tap the custom method, or the pencil icon next to it.

  3. In the Edit Payment Method box, tap Delete.

  4. When asked "Confirm delete Customized payment method ?", tap Confirm. You see "Delete successful" and the method is removed from the Payment screen.

What you should see

The methods you turned on appear as buttons on the Qashier POS Payment screen when staff take payment. Methods you turned off or deleted no longer appear.

Use a method from the QashierHQ list, or contact Qashier Support.

"Unable to create payment method containing special characters. Please try again."

The name contains special characters

Use letters, numbers and spaces only.

"Payment method entered already existed. Please enter a different name."

The name matches a built-in payment method

Choose a different name.

"Must be 10 or 13 characters" (Thailand, PromptPay)

The PromptPay ID has the wrong length

Enter your 10-character or 13-character PromptPay ID with no spaces or dashes.

You see "You don't have permission to access Settings" in QashierHQ

Your QashierHQ login has no access to Settings

Ask the account owner to give your login access to Settings.
