How to Sync WooCommerce Inventory with Qashier

Getting started on Woocommerce inventory integration via QashierHQ

WooCommerce inventory sync links a Qashier inventory item to a product (or a product variation) in your WooCommerce store, so Qashier POS and QashierHQ show the live WooCommerce stock count for that item. This article covers creating API keys in WooCommerce, connecting them in QashierHQ, linking products, checking stock on the POS, and unlinking a product.

Applies to: All Qashier markets · QashierHQ and Qashier POS · WooCommerce inventory integration (included in your plan or offered as an add-on, depending on your market and plan; check Qashier Marketplace in QashierHQ) · Inventory Management turned on for the store.

Before you start

  • Activate the integration. In QashierHQ, open Qashier Marketplace from the left menu, open the WooCommerce inventory integration and click Activate (or follow the prompt shown for your plan). If your store already uses Shopify inventory sync, or sells products in decimal quantities, clicking Activate opens a chat with Qashier Support instead of switching the integration on. Send the chat to ask support for help.

  • A store can sync inventory with Shopify or with WooCommerce, not both.

  • Inventory Management is on for the store, and every product you want to link has Track Inventory ticked in Product Management. See How to Track Inventory in QashierHQ.

  • You need administrator access to your WordPress / WooCommerce site.

  • Stores that sync inventory with WooCommerce cannot use stock requests and transfers between chain stores.

Part 1: Create API keys in WooCommerce

These steps are in your WooCommerce admin, not in Qashier. Button names may differ slightly between WooCommerce versions.

  1. Log in to your WordPress admin.

  2. In the left menu, click WooCommerce > Settings.

  3. Open the Advanced tab, then REST API.

  4. Click Add key.

  5. Enter a Description, for example "Qashier".

  6. Under User, choose the WordPress user the key belongs to (the first user is usually selected by default).

  7. Set Permissions to Read/Write.

  8. Click Generate API key.
    ​

  9. Copy the Consumer key and the Consumer secret and keep them somewhere safe. Treat them like a password: do not share them or post screenshots of them. You need both in Part 2.

Part 2: Connect WooCommerce in QashierHQ

  1. Log in to QashierHQ and click the Settings gear icon at the top right. On a phone, tap the account icon at the top right and choose Settings.

  2. Under Integrations, click WooCommerce API. This item appears only after the integration has been activated for a store.

  3. Under Store, select the store to connect.

  4. Enter your Woocommerce Domain: the full address of your store including https://, for example https://yourstore.com.

  5. Paste the key into Woocommerce Consumer Key.

  6. Paste the secret into Woocommerce Consumer Secret, and again into Confirm Woocommerce Consumer Secret.

  7. Click Submit.

What you should see: the message "Successfully updated woocommerce settings". To replace the keys later, open the same page, tick Reset Consumer Key & Secret, enter the new key and secret, and click Submit.

Part 3: Link Qashier products to WooCommerce products

  1. In QashierHQ, under Products & Inventory, click Inventory / Ingredient. Stay on the Inventory tab and select the store you connected.

  2. Click Assign Woocommerce Product Id at the top of the page. The button appears only after Part 2 has been saved for the selected store.

  3. Select the Qashier product you want to link.

  4. Find the product's ID in WooCommerce: open Products, search for the product and hover over it to see "ID: …".

  5. Back in QashierHQ, enter the ID under Woocommerce Product Id and click GET PRODUCT DATA.

  6. Select the product that loads. If the WooCommerce product has variations (for example sizes), select the exact variation that matches this Qashier item.

  7. Click Confirm.

What you should see: the Qashier product is now linked and shows WooCommerce's live stock count.

Warning: link each WooCommerce product or variation to only one Qashier inventory item. Linking one WooCommerce product to several Qashier items leads to wrong stock quantities in WooCommerce.

Check the stock count on Qashier POS

  1. On the POS home screen, tap Inventory Management.

  2. The list shows each linked item's WooCommerce Product Id.

  3. Tap an item to load its live WooCommerce stock, shown as "… in stock". If it shows N.A., the count could not be fetched: check that the item is linked and that the terminal is online.

Unlink a WooCommerce product

  1. In QashierHQ, under Products & Inventory, click Inventory / Ingredient and click the linked item.

  2. In the details panel, next to In stock (Woocommerce), click the unlink icon. Its tooltip reads Unlink Woocommerce Product.

  3. In the Alert pop-up, click Confirm.

What you should see: the message "Successfully unlinked … from Woocommerce". The item goes back to using Qashier's own stock count.

What syncs

For each linked item, Qashier shows the live stock count held in WooCommerce, on Qashier POS and in QashierHQ. Items you have not linked keep using Qashier's own stock count. If you need details on how in-store sales and stock actions affect the WooCommerce count, contact Qashier Support.

If something goes wrong

The integration is not activated for any store, or the store uses Shopify sync

Activate it in Qashier Marketplace, or contact support

The marketplace opens a chat instead of Activate

The store uses Shopify inventory sync or decimal product quantities

Send the chat to ask support for help. A store cannot sync inventory with Shopify and WooCommerce at the same time.

A pop-up says the inventory item can't be found in Woocommerce

The linked product or variation was deleted in WooCommerce

Click Unlink; the item uses Qashier's stock until you link it to a new product

N.A. shown on the POS

The terminal is offline, or the item is no longer linked

Check the internet connection and the link in QashierHQ

If the problem continues, contact Qashier Support.
