How to Set Up and Manage Bookings (QashierHQ + Qashier POS)

Complete guide to Booking Module with staff linking, product integration, POS operations, and real-time notifications. Covers setup for merchants and day-to-day operations for store staff.

Summary: Bookings lets your customers book your services online from your own booking link, and every appointment lands on your Qashier POS with the customer, service and staff already filled in. This guide covers the one-time setup in QashierHQ and the day-to-day handling of bookings on Qashier POS.

Before you start

Part 1: Set up bookings in QashierHQ

In QashierHQ, open Operations > Bookings. The page has four tabs: Sessions, General Settings, Staff and Services. Work through General Settings, Staff and Services in that order.

Step 1: General Settings and your booking link

  1. Open the General Settings tab.

  2. At the top, Your Shareable Booking Link shows the link customers use to book. Click Copy Link to copy it, Show QR Code to display a QR code (then Download QR to save it for print), or Open in New Tab to preview the booking page. Share the link on your website, social media or in messages to customers.

  3. If you see Booking link is not available yet. Please save your settings first., finish the steps below and click Save Changes; the link then appears.

  1. Store Information shows your Display Name and Store Address as customers see them. They cannot be edited here: click Edit Store Information to open the Treats customise page and change them there.

  2. Under Booking Modules, switch on the parts of the booking flow you want customers to go through:

    • Service Booking: customers pick a specific service.

    • Staff Booking: customers pick a staff member.

    • For each module, choose a Selection Mode: Required (customer must select), Optional (customer can skip), Preferred (customer can skip; the system assigns one if skipped), Auto (hidden from the customer; the system assigns) or Manual (hidden from the customer; you assign after booking).

  3. Under Date & Time, set the Minimum Lead Time (how soon before a slot a customer can still book it, in minutes) and Max Advance Booking (how many days ahead customers can book). The Time slot duration is fixed once bookings exist; contact support if you need it changed.

  4. Under Booking Flow Order, drag the modules into the order customers should see them (Step 1, Step 2, and so on). At least one module must be set to Required, Optional or Preferred before you can set the order.

  5. Click Save Changes.

Step 2: Add booking staff and their hours

  1. Open the Staff tab and click Add Staff.

  2. Under Select Staff, choose a staff member from Staff Management. If the person is not listed, click Staff not found? Create new staff, enter their Name, Hourly Rate and a 4-digit Staff PIN. This creates them in Staff Management at the same time. There is no email field.

  3. Add a Specialization if you want (optional; customers see it on the booking page).

  4. Under Operating Hours / Availability, set the weekly hours this person can be booked. For each day, click Add time slot and enter the start and end time, or leave the day Closed. Time slots on the same day cannot overlap.

  5. Under Date Overrides, click Add Date Override to close a specific date (leave, public holiday) or give it Custom Hours.

  6. Click Save. Each staff member with a booking calendar can be picked by customers for the services you assign to them in Step 3.

To block a lunch break, meeting or any one-off slot for a staff member, use BLOCK TIME on the POS (see Part 3). Use Date Overrides in QashierHQ for whole-day closures or different hours on a specific date.

Step 3: Create services and assign staff

  1. Open the Services tab and click Add Service.

  2. Under Select Product, choose the product this service sells. Each product can be linked to only one service, so products already linked do not appear in the list. If the product does not exist yet, click Product not found? Create new product, create it in Product Management, then come back and select it.

  3. The Service Name, Description and Price are copied from the product and marked Synced. Edit a field to override it for bookings only (it is then marked Overridden); click Reset to go back to the product's value. Synced fields update automatically when you change the product later; overridden fields do not.

  4. Enter the Duration in minutes. This decides how many time slots a booking takes up.

  5. Under Assign Staff, all booking staff are ticked by default. Untick anyone who does not perform this service, or use Select All / Deselect All. Customers only see the staff assigned to the service they picked.

  6. Under Modifier Visibility, choose which of the product's modifier groups customers can pick as add-ons when booking. Modifiers themselves are managed on the product: see How to Create Modifier Sets and Modifiers in QashierHQ.

  7. Under Operating Hours / Availability, set the days and times this service can be booked, or click Copy hours from another service.

  8. Click Save. The service now appears on your booking page and in the Sessions Calendar.

Step 4: View bookings in the Sessions Calendar

The Sessions tab is your Sessions Calendar: every booking, by month, week or day. Use Filter by Staff and Filter by Status to narrow it down. Click a booking to open Booking Details (date and time, customer, service, staff) and change its Status to Confirmed, Completed, Cancelled or No Show. Your shareable booking link is shown here too.

You do not create time slots in this tab. Availability comes from the Operating Hours you set on each staff member and service.

Part 2: What your customers see

  • Customers open your booking link and go through the steps in your Booking Flow Order: pick a service (and any add-ons you made visible), pick a staff member if Staff Booking is on, then pick a date and an available time slot. The total price updates as they choose.

  • After booking, they can see their appointments under My Bookings on the booking page. They can cancel a confirmed booking themselves up to 24 hours before the appointment. Inside 24 hours they must contact your store; the booking page tells them that cancellations made within 24 hours may incur a fee.

  • Customers cannot reschedule online. If a customer wants a different time, change the booking on the POS (Part 3) or ask them to cancel and book again.

Part 3: Handle bookings on Qashier POS

On the POS home screen, tap Bookings & Reservations and enter your staff PIN. You see the day's schedule with counters for Total, Completed, Upcoming and Overdue bookings. Use the arrows to move between days, Go to Today to jump back, and switch between the timeline and list views. Tap any booking to open its details.

Create a booking on the POS (walk-in or phone booking)

  1. In Bookings & Reservations, tap NEW BOOKING.

  2. Under CUSTOMER, search by name or phone number and pick the customer, or tap + Create new customer.

  3. Pick the SERVICE, the ASSIGNED STAFF, the DATE and a TIME SLOT.

  4. Add any ADD-ONS and NOTES (OPTIONAL).

  5. Tap CREATE BOOKING. The booking appears on the day's schedule and in the HQ Sessions Calendar.

Block time for a staff member

  1. In Bookings & Reservations, tap BLOCK TIME.

  2. Tap + Add Block Time, then choose the STAFF, DATE, START TIME and END TIME.

  3. Pick a REASON (Lunch, Training, Meeting, Break) or type your own.

  4. Tap ADD BLOCK, then DONE. Customers cannot book that staff member during the blocked time. Existing blocks are listed under Blocked Times.

Check in a booked customer and take payment

There are two ways to start the booked service when the customer arrives.

From the sale screen (recommended):

  1. On the POS home screen, tap POS & Payment, then Customer.

  2. Search for the customer by name or phone number. A customer with a booking today shows a BOOKING TODAY tag with the service and time.

  3. Tap the customer. The Booking Found! screen shows the booked service, time, staff, add-ons and total.

  4. Tap START BOOKED SERVICE. The POS opens an order with the service already added, the customer attached and the staff pre-filled. Add any extra items, then take payment as usual.

  5. If the customer wants something else today, tap Ignore to start a normal order without the booked service.

  6. If the customer has an active package for this service, a Package Available banner appears. Tap REDEEM PACKAGE to use a session instead of charging. See How to Redeem a Customer's Package in Qashier POS.

From the booking itself: in Bookings & Reservations, tap the booking, then GO TO PAYMENT. The order is created the same way.

After payment, open the booking and set its status to Completed (see below) so your counters and reports stay accurate.

Edit a booking's date, time or staff

  1. In Bookings & Reservations, tap the booking to open Booking Details.

  2. Tap the edit icon next to Booking Date, BOOKING TIME or ASSIGNED STAFF and pick the new value. Confirm when the POS asks Change booking time? or Change booking date?.

  3. The edited field shows a Changed badge with a Revert option in case you need to undo it. The service duration stays the same when you move the time.

Mark a booking completed, no-show or cancelled

  1. Open the booking and tap CHANGE STATUS.

  2. Choose Confirmed, Completed, No Show or Cancelled.

When a customer is late, the booking shows a Customer hasn't arrived banner with a No Show button (marks the booking as a no-show in one tap) and a Contact button. To cancel a booking and free the slot, tap CANCEL at the bottom of the booking details. A booking that has been completed or cancelled shows BOOKING CLOSED instead of the payment button.

Contact the customer

In the booking details, tap Contact. The POS shows a QR code that holds the customer's phone number: scan it with your own phone to call them. The POS does not send SMS, email or reminders to customers.

Booking notifications on the POS

When Bookings is on, a floating notification bell appears on the POS screens. It shows a badge when there are unread notifications and turns red for anything urgent, such as an overdue booking. Tap the bell to open Notifications: Today's Schedule is at the top, followed by the latest notifications. Tap a notification to open that booking, or tap Mark all read.

You receive these notification types: NEW BOOKING (a customer booked online), REMINDER (an appointment is coming up), OVERDUE (a booked customer has not arrived), CANCELLED, EDITED BOOKING and NEW WALK IN (a booking was created on the POS).

The bell needs the Android permission Allow to display on top (also called "Display over other apps"). If the POS asks for it, allow it. If the bell never appears, open the tablet's Android settings, find the Qashier POS app and allow it to display over other apps.

What you should see

  • Online and POS bookings appear in the HQ Sessions Calendar and on the POS Bookings & Reservations schedule, and the POS bell shows a NEW BOOKING notification.

  • A paid booking shows up in Transaction Record on the POS like any other sale, with the customer and staff attached.

  • The status you set (Completed, No Show, Cancelled) shows on both the POS schedule and the HQ calendar.

Each product can link to one service only. Create a separate product for the new service, or edit the existing service.

No staff can be assigned to a service

No staff has a booking calendar yet.

Add the staff member in the Staff tab first.

The Time slot duration field is greyed out

It is locked once the store has bookings and availabilities.

Contact support to change it.

The customer search on the POS shows no BOOKING TODAY tag

The booking is for another day, or it was made under a different customer record.

Open Bookings & Reservations, find the booking and use GO TO PAYMENT.

Product catalog still loading — please try again in a moment when starting a booked service

The POS is still downloading your products.

Wait a moment and tap START BOOKED SERVICE again.

The notification bell never appears on the POS

The "display on top" permission was not granted.

Allow Qashier POS to display over other apps in the tablet's Android settings.

If the problem continues, contact Qashier Support.

Frequently asked questions

Can customers reschedule their own bookings? No. They can cancel from My Bookings up to 24 hours before the appointment and book again. Inside 24 hours, or to move a booking, they contact you and you change the date, time or staff on the POS.

What happens if a customer does not show up? Mark the booking as No Show from CHANGE STATUS or from the overdue banner. Taking a deposit or full payment at the time of booking is not available yet (it is marked as coming soon in QashierHQ).

Can I set a buffer time between appointments? There is no buffer setting. To keep gaps between bookings, use BLOCK TIME on the POS or shorten the Operating Hours / Availability of the staff member or service.

Can I sync bookings with Google Calendar or Outlook? No. Bookings are viewed in the HQ Sessions Calendar and on the POS.

Can I use one product for two booking services? No. A product can be linked to a single booking service per store. Create separate products (for example "Haircut - Express" and "Haircut - Deluxe").

I changed a product's price or name. Does the service update? Yes, if the field is still Synced. If you overrode it in the service, your override stays until you click Reset.

A staff member has left. What do I do with their bookings? Untick them under Assign Staff on each service so customers can no longer pick them. Their existing bookings stay on the calendar; reassign each one to another staff member on the POS.
