How to Do a Stock Take in Qashier POS

Stock Take lets your staff count the stock on hand on Qashier POS and record it next to the stock the system expects, so you can see the difference in QashierHQ and export it. A stock take does not change your stock levels.

Applies to: All markets · Qashier POS (count) and QashierHQ (view and export) · Inventory Management turned on for the store.

Before you start

  • Inventory Management must be on for your store. In QashierHQ, open Products & Inventory > Inventory / Ingredient. If you see an introduction page instead of your stock list, Inventory Management is not on yet. Use the button on that page (Activate, Compare plans or I'm interested!, depending on your plan), or contact support.

  • Only products with Track Inventory ticked appear in Stock Take. See How to Track Inventory in QashierHQ.

  • Keep Qashier POS updated to the latest version.

How to do a stock take on Qashier POS

  1. On the Qashier POS home screen, tap Inventory Management.

  2. Tap Stock Take at the top of the screen.
    ​

  3. Find the product. Type in the Search Item Name/Barcode/SKU box, or tap the scan icon and scan the product's barcode. The search matches part of the product name, or the start of the barcode or SKU. If your store has a very large catalogue, the list stays empty until you search: type at least 3 characters and tap Search.

  4. Count the item on your shelf and enter the number in the Counted Qty field next to it. Repeat for each product you count.

  5. Tap Submit at the bottom of the screen. To leave without saving, tap Cancel.

  6. In the Confirm Submit? pop-up, tap Submit to save the stock take, or Back to keep editing. A submitted stock take cannot be undone.

  7. You see Edit Success and return to the Inventory Management screen. Tap a product to see the stock take in its stock history, with the expected quantity, the counted quantity and the difference.

On Qashier POS, the difference is shown in colour:

  • Counted is more than expected: the difference is green.

  • Counted is less than expected: the difference is red.

  • Counted equals expected: the difference is 0, in the normal font colour.

Tip: count without seeing the expected stock. In QashierHQ, go to Settings > Inventory > Inventory Management, pick the store, tick Hide Inventory Count in Inventory Management Page on POS and click Save. Qashier POS then shows only the counted quantity (for example "Counted qty: 5;"), and managers see the difference in QashierHQ.

Notes:

  • You can enter 0. It is saved as a counted quantity of 0.

  • Leave a product's field empty to skip it. Nothing is saved for a product you never typed a count for.

  • If you typed a count by mistake, type the correct number instead of clearing the field. Clearing a field you have already typed in does not remove the count. If in doubt, tap Cancel and start again.

  • For products with decimal quantities, you can enter up to the product's number of decimal places. For example, with 2 decimal places you can enter 10, 10.0 or 10.00, but not 10.000.

  • If you tap Submit without entering any count, you see Please enter stock count.

Important: A stock take does not change the stock quantity. It only records what you counted, like Tally in Cash Management. To correct your stock after a count, use Reset To Number (see How to Adjust Stock Count with Stock Actions on Qashier POS or How to Adjust Stock (Stock Actions) in QashierHQ), or update many products at once with How to Bulk Update Stock (Stock In / Stock Out) with Excel in QashierHQ.

How to view stock takes in QashierHQ

  1. Log in to QashierHQ. In the left menu, under Products & Inventory, click Inventory / Ingredient.

  2. Stay on the Inventory tab and pick your store from the store selector next to the page title.

  3. Click a product to open its details panel.

  4. Under Stock history, stock take entries show Stock Take in the Action column and NA in the Change column (a stock take does not change stock). The Details column shows the expected quantity, the counted quantity and the difference.

  5. To see only stock takes, open the All Actions filter and choose Stock Take.

How to export stock take data from QashierHQ

Stock take report (all products, for a date range)

  1. On the Inventory / Ingredient page, click Export at the top right, then Stock take report.

  2. Choose a start date and an end date (future dates cannot be picked), then click Confirm. The report covers the store that is currently selected.

  3. The report downloads as an Excel file (.xlsx) named "Stock take report <start date> - <end date>". It lists the date, product name, SKU number, category name, expected quantity, counted quantity and difference.

One product's history (including stock takes)

In the product's details panel, click Export next to Stock history and confirm. The product's inventory history downloads as a CSV file, with stock takes shown as Stock Take rows.

Can I do a stock take in QashierHQ?

No. Stock takes can only be recorded on Qashier POS. QashierHQ lets you view and export them.

If the counted amount differs from the expected amount, is the stock quantity updated?

No. A stock take only records the count. To change the stock quantity, use Reset To Number or a bulk update.

Are stock takes included in the stock movements export?

Yes. Export > Export stock movements includes stock take entries.
