How to Adjust Stock Count with Stock Actions on Qashier POS

Stock actions let you change the stock count of a tracked product on Qashier POS: add stock you received, deduct damaged or lost items, or reset the count. You can also set a low stock alert level and see every change under Stock History.

Before you start

  • If you do not see Inventory Management on the POS home screen, Inventory Management is not turned on for this store. In QashierHQ, open Products & Inventory > Inventory / Ingredient: depending on your plan, the page shows Activate or Compare plans. You can also contact Qashier Support.

  • With Chain Store Management, each store has its own stock count. A stock action on the POS changes the count of the store that POS belongs to.

  • If Hide Inventory Count in Inventory Management Page on POS is ticked in QashierHQ (Settings > Inventory > Inventory Management), staff do not see the current count on this page.

Apply a stock action

  1. On the POS home screen, tap Inventory Management.

  2. Tap the product whose stock you want to adjust.

  3. Under Stock Action, tap ▼ to open the list of actions.

  4. Choose the action. See the list below.

  5. Enter the quantity. The field is labelled Add Stock, Deduct Stock or Stock Reset To, depending on the action you chose.

  6. For Others (+) and Others (-), type the reason under Action Detail.

  7. Tap Confirm Edit Stock.

What you should see: the product's in-stock count updates, and a new line appears under Stock History with the action, the change and the details you typed. If you tap Confirm Edit Stock with the quantity blank, the POS shows Please input all stock change details.

Stock actions explained

a. Stock Received (+)

  • Increases the stock count by the quantity you received.

  • If Auto Calculate Product Cost When Stock In is ticked in QashierHQ (Settings > Additional Settings > Product Settings), Qashier POS asks for the New Batch Cost (the cost of the new batch of stock). Enter it and tap OK.

b. Damage/Loss/Theft (-)

  • Decreases the stock count for items that were damaged, lost or stolen.

c. Restock Return

  • Increases the stock count for items returned by a customer or put back into stock.

d. Reset To Number

  • Replaces the stock count with the number you enter under Stock Reset To. Use this to correct the count after a stock take.

e. Others (+)

  • Increases the stock count for any reason not covered above.

  • Type the reason under Action Detail and the quantity to add.

f. Others (-)

  • Decreases the stock count for any reason not covered above.

  • Type the reason under Action Detail and the quantity to deduct.

Set a low stock alert (Fall Below Alert Threshold)

  1. On the same product panel, tap the number next to Fall Below Alert Threshold.

  2. In the Edit Fall Below Alert pop-up, enter the stock level at which you want to be warned, then tap OK.

QashierHQ uses this threshold to mark the product as Low stock and for low stock emails. You can also set it in QashierHQ with the Set Alert Threshold stock action. Check Stock History

Scroll down on the product panel to Stock History. It lists every change to the product's stock: sales, voided sales, stock actions and stock takes, with the date and the details entered.

If something goes wrong

The product is not listed

Track Inventory is off for the product

Please input all stock change details appears

The quantity is blank

Enter the quantity, then tap Confirm Edit Stock again

The count does not match what is on the shelf

Deliveries or losses were not recorded

Do a stock take, then use Reset To Number to correct the count
