[MY] QashierPay Application: KYC Documents & Requirements

Summary: This guide lists the documents and details Malaysian merchants need to apply for QashierPay in QashierHQ, and shows how to prepare them so your application is approved without delays.

Before you start

  • Set aside about 10 to 15 minutes to complete the form.

  • Have these ready: your company registration document (SSM), a bank statement or online-banking screenshot that is not older than 3 months, and the identity card or passport of the main applicant, every connected party and every beneficial owner.

Which payment methods does the application cover?

One application covers all the payment methods listed on the Payment Management page for your account. In Malaysia the page currently lists Debit/Credit Card In-Store, Debit/Credit Card Online (Local), Debit/Credit Card Online (Foreign), DuitNow QR and DuitNow QR Online. If the payment method you want is not listed, or you are an existing merchant who was asked to apply through support, contact Qashier support.

How to start the application

  1. Log in to QashierHQ and click Payment Management at the bottom of the left sidebar.

  2. On the Apply for Payment Services Now card, click Apply Now.

  3. Fill in each section of the form. Click Save Draft whenever you pause: the form does not save by itself. To continue later, return to Payment Management and click Continue Application.

  4. When every section is complete, click Submit, then read and accept the Payment Services & Terms.

What you should see: your status on the Payment Management page shows Pending approval. You can still open View / Edit Details. When your application is approved, the status changes to Approved and the Payout Information and View Payout Report buttons appear at the top of the page.

What is KYC?

KYC (Know Your Customer) is the process we use to verify your identity and assess the risks of a business relationship. We collect basic business information to comply with regulations and to establish a safe and secure relationship. Please provide accurate and complete information so that your application is compliant and approved quickly.

The sections of the form

The form has these sections, in this order:

  1. Company Information, split into Legal Information, Transaction Details and Contact Information

  2. Store Information

  3. Main Applicant

  4. Connected Parties (i.e. Directors, Partners, Natural Persons with Executive Authority)

  5. Beneficial Owners (i.e. individuals who ultimately own or control, directly or indirectly, more than 25% of the shares or voting rights, or individuals exercising control over management)

  6. Payout Information

Company Information

  1. Upload your Company Registration Certificate/Document (for example, your SSM certificate). The upload accepts PDF, PNG or JPG files up to 4MB.

  2. Wait while QashierHQ reads the document (you see Reading your document…). It fills in company, director and shareholder details from the document. Check every pre-filled field and correct anything that is wrong.

  3. Check or complete the Legal Information fields: Company Legal Name, UEN (your company registration number), Entity Type, Industry Type, Country Of Incorporation and Registration Date.

  4. Answer the Transaction Details questions (your expected sales volumes and how you take payments) and fill in Contact Information, including the Company Address.

Payout Information (your bank account)

  1. Select your bank from the Bank Name list. The BIC (SWIFT Code) fills in automatically.

  2. Enter the Holder Name and Account Number exactly as they appear on your bank statement. If you are unsure, check with your bank.

  3. Upload your Bank Statement: a copy of a bank statement or a screenshot of your online-banking page. The upload accepts PDF, PNG or JPG files between 10KB and 10MB.

The document must clearly show all of the following, otherwise it will be rejected:

  • Account holder name (for example, ABCD Sdn Bhd)

  • Account number

  • Name and logo of the bank

  • A statement date that is not older than 3 months

Note: the account holder name must match the company name you registered with Qashier.

Identity documents (Main Applicant, Connected Parties and Beneficial Owners)

You must provide personal details for the main applicant, for all connected parties (directors, partners and people with executive authority) and for every beneficial owner who owns or controls more than 25% of the shares or voting rights.

  1. For each person, choose the Document Type: ID (identity card) or Passport.

  2. Upload ID (Front) and ID (Back) for an identity card, or the photo page for a passport. Each image must be a PDF, PNG or JPG file between 100KB and 4MB.

The form accepts an identity card or a passport. If a person has neither, contact Qashier support before you submit.

To keep your application moving, every image must:

  • Be a clear, colour copy with no glare

  • Show the whole document, not a cropped part of it

  • Show a document that is not cracked, chipped or broken

  • Be straight and upright

Identity card (IC) / passport

Acceptable formats

Both sides of the IC, or the passport page, photographed on a flat surface

All 4 corners of the IC or passport are inside the frame

All details on the IC or passport are clearly readable

The IC or passport is free from damage such as cracks, chipped corners or splits

No light reflection on the IC or passport

Colour image, not black and white

Unacceptable formats

The IC or passport is damaged (cracked, split in half, broken corners)

A watermark covers key information on the IC or passport. If you need a watermark, see the placement examples below.

The IC is scanned in black and white

The IC or passport is blocked (by a finger or a sticker)

Not all 4 corners of the IC or passport are inside the frame

Glare or overexposure hides key information on the IC or passport

Where to place a watermark

If you add a watermark to your IC or passport images, place it where it does not cover any details. Here are three examples:

Watermark placed between the blue and white sections of the passport image

Caution: the watermark must not cover any details on the ID or passport image, otherwise your application will be rejected. All the guidelines above still apply.

How long does approval take?

Approval usually takes around 5 to 7 working days after you submit. Qashier will let you know when your account is approved and activated.

If something goes wrong

Save the statement as a PDF from your online banking, or take a clearer screenshot, and upload it again.

Pre-filled company or director details are wrong

The document was read incorrectly

Edit the field directly before you submit. If you cannot change a field, contact support.

Status still shows Pending approval after 7 working days

Your application is being reviewed or a document was rejected

Contact Qashier support and quote your company name.

Your bank account changed after approval

Payout details need updating
