Low stock alerts warn you when a tracked product is running out. Qashier tells you in three places: a pop-up on Qashier POS when a cashier adds a product that is short on stock, a Low stock summary on the QashierHQ inventory page, and a low stock email sent at the frequency you choose.
Applies to: All markets · Qashier POS and QashierHQ · Inventory Management add-on turned on for the store · QashierHQ access to Products & Inventory and Settings.
Before you start
Turn on Track Inventory for each product you want alerts for. See How to Track Inventory in QashierHQ or How to Use Inventory Management in Qashier POS.
Set a low stock threshold for each product with the Set Alert Threshold stock action. See How to Adjust Stock (Stock Actions) in QashierHQ or How to Adjust Stock Count with Stock Actions on Qashier POS. The QashierHQ page and the email both use this threshold. The POS pop-up does not need a threshold.
1. Low Stock Alert pop-up on Qashier POS
When a cashier adds a tracked product to an order and there is not enough stock for the quantity being added, Qashier POS shows a Low Stock Alert pop-up: "The product you're adding has insufficient stock. If you want to proceed to add it to the order anyway, select CONFIRM AND ADD".
Tap Confirm and add to add the product anyway (the stock count will go below zero).
Tap Cancel to leave it out of the order.
The pop-up appears whenever the stock on hand is less than the quantity being added, not only when stock is zero. It does not appear if Hide Inventory Count in POS & Payments Page on POS is ticked in QashierHQ under Settings > Inventory > Inventory Management.
2. Low stock list in QashierHQ
Log in to QashierHQ.
In the left menu, under Products & Inventory, click Inventory / Ingredient. Stay on the Inventory tab and pick your store.
Read the summary cards at the top of the page: Total tracked, Healthy stock, Low stock and Out of stock.
Click the Low stock card, or open the Status filter and choose Low stock, to list only the products that need restocking. Click the card again, or choose All statuses, to clear the filter.
How a product is counted:
Out of stock: stock is 0 or below.
Low stock: stock is at or below the product's threshold (only products with a threshold above 0 are counted).
Healthy: stock is above the threshold, or no threshold is set.
The Ingredient tab has the same Low stock and Out of stock cards for ingredients. See How to Update Ingredient Stock and Set Low-Stock Alerts in QashierHQ.
If you switched QashierHQ back to the classic inventory page, use the Show Low Stock Items switch instead. The classic page highlights a product row in red only when stock is strictly below the threshold.
3. Low stock email
In QashierHQ, click the Settings gear icon at the top right. On a phone, open the menu under your name and choose Settings. You can also go straight to hq.qashier.com/settings.
Under Inventory, click Inventory Management.
Pick the store you want alerts for. Each store has its own setting.
Under Set frequency for low stock alerts:, choose one of:
Every time a product falls below threshold: an email as soon as a product goes low.
Daily: one email a day at the time you choose (the default is 22:00).
Weekly: one email a week on the day and time you choose.
Do not send low stock alerts: no emails.
Under Send low stock email to:, check or change the recipient. By default this is the store's email address. To send to several people, separate the addresses with commas.
Click Save.
What you should see
With Every time a product falls below threshold, you get an email when a sale or a stock deduction takes a product's stock from above its threshold to the threshold or below it, or from exactly the threshold to below it. Examples:
Stock before | Threshold | Stock after the sale | Email sent? |
6 | 5 | 5 | Yes |
100 | 99 | 97 | Yes |
5 | 5 | 4 | Yes |
7 | 5 | 6 | No |
With Daily or Weekly, the email arrives at the time you chose and lists the products that are at or below their threshold, with an attachment holding the details. If no product is low, the email says so.
