How to Create, Share and Track Payment Links in QashierHQ

Streamline your payment process with the convenience of Pay by Link

Use Pay by Link in QashierHQ to create a payment link, share it with your customer by WhatsApp, SMS or email, and track when it is paid.

Applies to: Singapore, Malaysia, Thailand and Australia · QashierHQ · your QashierHQ user role needs the Pay by Link access right.

Before you start

Create a payment link

  1. In QashierHQ, go to Sales Channels > Pay by Link.

  2. Select the store the payment belongs to.

  3. Click Create Link. The Create Payment Link panel opens on the right.

  4. Fill in the fields:

    • Amount (required) – the total to charge, in your store's currency.

    • Tax type – With tax or Without tax. This field appears only if your store has tax set up. The total updates under the field.

    • Customer name (optional).

    • Recipient email (optional) – your customer's email address.

    • Link expires (required) – defaults to 30 days from now. Choose 24 hours, 7 days, 30 days or 90 days, or pick a date. Your customer cannot pay after the link expires.

    • Transaction note (optional) – shown to your customer on the payment page, for example "Invoice #1234, catering deposit".

  5. Click Create. To finish later, click Save as draft instead.

Share the link with your customer

  1. After you click Create, a message appears: "Payment link created — copy and share with customer." Click Copy.

  2. Paste the link into WhatsApp, SMS, email, social media or any chat with your customer.

To copy a link later, click the copy icon on the link's row, or open the link and click Copy link in the Payment Link details panel.

Entering a Recipient email stores the address with the link. Always copy and share the link yourself as well, so you know your customer has received it.

Track your payment links

The Pay by Link page shows summary cards at the top: Unpaid · Outstanding, Expiring Soon, Expired, Paid and Drafts. Click a card to filter the list, or use the filter buttons All, Unpaid, Expiring, Expired, Paid and Draft.

Each link has one status:

Status

Meaning

Unpaid

Created and awaiting payment.

Expiring

Unpaid and expires within the next 3 days.

Paid

Your customer has paid. The row shows the payment method and the paid date.

Expired

The expiry date passed without payment. Your customer can no longer pay through this link.

Cancelled

You cancelled the link before it was paid.

Draft

Saved but not created yet. A draft has no shareable link.

  • Date range: the list shows today's links by default. Widen the date range to see older links, and choose whether to filter by Creation date, Expiry date or Paid date.

  • Search: type a customer name, email, note or link ID in the search box.

  • Details: click a link to open the Payment Link details panel. It shows the customer, the link, the transaction note and a timeline. Once paid, it shows Paid on and Payment method.

Cancel an unpaid link

  1. Open the link from the list.

  2. Click Cancel link.

  3. Click Confirm. Your customer will not be able to pay this link anymore. This cannot be undone.

You can only cancel a link before your customer pays. To reverse a paid link, see How to Void or Refund a Paid Pay by Link Payment.

Send a fresh link after one expires or is cancelled

  1. Open the expired or cancelled link.

  2. Click Create new link. The Create Payment Link panel opens with the amount, customer name, email and note pre-filled.

  3. Set a new expiry, click Create and share the new link.

An expired link cannot be extended or reactivated on this page.

Drafts

  • Click Save as draft in the Create Payment Link panel to keep a link for later. Drafts appear under the Draft filter.

  • Open a draft and click Open draft to continue editing, or Delete draft to remove it.

  • If Pay by Link is not enabled for the store yet, clicking Create saves the link as a draft instead and shows: "Pay by Link isn't enabled for this store yet. Saved as draft instead — finish the payment-method setup to publish it."

You can't find a link you created

The date range defaults to today

Widen the date range, change the date basis, or search by link ID.

Your link was saved as a draft instead of created

The store is not eligible yet (online payment account not approved, or no online method enabled)

Finish the set-up in Pay by Link: What It Is and How to Activate It in QashierHQ (SG/MY/TH), then open the draft and click Create.

The create button is greyed out

You are on the classic page

Click Switch to modern UI in the header.

Links you created some time ago are missing from the list

Links created on the previous Pay by Link page are listed only on the classic page

Switch to the classic UI in the header to view them.
