Summary: The Ingredient tab in QashierHQ records a cost per unit for every ingredient, works out what your stock is worth (Stock Value), and, if you switch on cost averaging, updates the unit cost automatically each time you receive a delivery at a different price. Because every sale deducts ingredients through the product's recipe, the Stock history shows exactly how much of each ingredient you use.
Applies to: All markets · QashierHQ · F&B stores with the Ingredient Management add-on turned on (Qashier Marketplace) · a QashierHQ login with access to Inventory / Ingredient. The weighted-average unit cost needs the store setting Auto Calculate Product Cost When Stock In.
Before you start
Create your ingredients with a unit and a cost: How to Add, Edit and Delete Ingredients in QashierHQ.
Assign each ingredient to the products that use it, with a deduct ratio: How to Assign Ingredients to Products (Deduct Ratio) in QashierHQ. Without recipes, sales do not deduct ingredients and there is no usage to see.
To let a delivery update the unit cost, switch on Auto Calculate Product Cost When Stock In: click the gear icon (Settings) at the top right (on a phone, tap the account icon, then Settings), then Additional Settings > Product Settings. This setting also applies to product inventory.
The three figures on the Ingredient tab
Log in to QashierHQ. Under Products & Inventory, click Inventory / Ingredient, then the Ingredient tab, and pick the store.
Unit Cost is the cost of one ingredient unit, in your store currency. It is the Cost you enter when you add or edit the ingredient. If the unit is gram, it is the cost of one gram.
In Stock is the quantity on hand, in the ingredient's unit.
Stock Value is Unit Cost × In Stock. The last row of the table shows the total stock value of all listed ingredients. Ingredients with no cost show no stock value.
Click an ingredient's name to open its side panel. The panel repeats In stock, Threshold, Unit cost and Stock value, and holds the Stock action form and the Stock history.
Record a delivery and update the unit cost (weighted average)
Click the ingredient's name to open the panel.
Under Stock action, choose Stock Received (+).
Enter the Quantity received, in the ingredient's unit.
Enter the price you paid per unit in New unit cost (placeholder Cost per unit for this delivery). The field only appears for Stock Received (+) and only when Auto Calculate Product Cost When Stock In is on. Leave it empty to keep the current unit cost.
Optional: add a Details line, for example the supplier name.
Click Apply. You see Stock updated.
How the new unit cost is worked out. Qashier blends the old stock and the new delivery by quantity: (current stock × current unit cost + received quantity × new unit cost) ÷ (current stock + received quantity), rounded to 2 decimal places.
Example: you have 10 kg of flour at 2.00 per kg and receive 10 kg at 3.00 per kg. The new unit cost is (10 × 2.00 + 10 × 3.00) ÷ 20 = 2.50 per kg, and the stock value becomes 20 × 2.50 = 50.00.
Only Stock Received (+) recalculates the cost. Damage/Loss/Theft (−), Restock Return, Reset To Number, Others (+) and Others (−) change the quantity but leave the unit cost as it is. To correct a unit cost by hand, edit the ingredient and change Cost.
See how much of each ingredient you use
Open the ingredient's panel and scroll to Stock history.
Each line shows the Date, the Change (negative for deductions from sales, positive for stock received) and Details (the stock action you chose, your note, or the sale that caused the deduction). Click Load more for older lines.
Click Export in the history to download it, or click Export at the top of the tab to download the whole ingredient list as a CSV with Ingredient Name, Unit, In Stock, Low Stock Threshold, Unit Cost and Stock Value.
Add up the negative lines for a day or a month to get that period's usage; multiply by the unit cost to get what it cost you.
Work out the ingredient cost of a dish
On the Ingredient tab, click Product View.
Find the product. Each row lists its ingredients with the Deduct ratio and Unit.
For each ingredient, multiply the deduct ratio by that ingredient's Unit Cost, then add the results. That total is the ingredient cost of one serving; compare it with the selling price to see your margin.
Example: a latte uses 18 g of coffee beans at 0.04 per gram (0.72) and 200 ml of milk at 0.003 per ml (0.60). The ingredient cost is 1.32 per cup.
Running out
An ingredient whose In Stock is 0 or below shows the status Out of stock; one at or below its Threshold shows Low stock. Use the status filter and the low-stock alerts to reorder before service: How to Set Up Low Stock Alerts (POS, QashierHQ and Email). The Ingredient Management introduction page in QashierHQ also describes menu items being blocked when an ingredient runs out. Test this with one product on your POS before you rely on it.
What you should see
After a delivery with a new unit cost, the ingredient's Unit Cost and Stock Value change in the table and in the panel, and a positive line appears in Stock history.
After each sale on Qashier POS, a negative line appears in the history for every ingredient in the product's recipe, and In Stock and Stock Value go down.
On Qashier POS, Inventory Management > Ingredients shows each ingredient's stock and unit. Unit cost and stock value are shown in QashierHQ only.
If something goes wrong
