The Reports tab in Customer Management gives you ready-made customer lists on top of your customer records: who is about to lapse, how many customers come back, and exactly who bought a specific product. Every list can be exported for a marketing campaign.
Applies to: All markets · QashierHQ · Customer Management (CRM) enabled · Modern view · HQ users need Customer Management access.
Before you start
Customer Management must be switched on for at least one of your stores. If it is not on, the page shows the Customer Management upsell with an I'm Interested! button instead of the customer list.
Use the Modern view. If you switched to Classic, click Switch to modern UI in the top bar. The Reports tab is not shown in Classic view.
Your QashierHQ login needs access to Customer Management. If you cannot open it, ask your account owner or contact Qashier Support.
Ask your staff to record the customer at checkout. The reports only count sales where a customer was selected. See How to Add a Customer to a Sale and View Their Purchase History in Qashier POS.
Where to find it
Log in to QashierHQ.
In the left sidebar, open Customers & Marketing > Customer Management.
Click the Reports tab. The other tab, Customers, is your customer list.
You can also open the tab directly at hq.qashier.com/customer-management?tab=reports.
The Customers tab
The Customers tab is your customer list. Summary tiles at the top show Total customers, New this month, SMS opted in and Email opted in; click a tile to filter the list. To add, edit, delete or export customer records, see How to Add, Edit, Delete and Export Customers in QashierHQ.
The Reports tab
The Reports tab is one page with three sections: Overview, Repeat customer report and Purchase Trend.
Overview
Overview is a snapshot of your customer base right now. It always uses fixed time windows, so it does not change when you adjust the Period and Store filters further down the page.
Here is what you will see:
Revenue from returning customers: total revenue from returning customers in the last 90 days.
Total customers, Active (30 days) and Loyal customers in 90 days. A loyal customer is one who bought at least twice in the last 90 days.
A banner such as "X customers may be about to lapse", which opens a named list of at-risk customers. A customer is "about to lapse" when they visited 3 or more times in the last 12 months and their last visit was 30 to 60 days ago. The amount shown in the banner is the sum of each of those customers' average spend per visit.
Revenue from new vs returning customers over the last 8 weeks.
Customer Reviews from the last 90 days, combining star reviews and terminal surveys.
Marketing reach: the percentage of your customer base you can reach by SMS and by email.
Recovering customers who may be about to lapse
When the lapse banner appears, click Open customer list. The named customers are listed, ordered by 12-month spend, with contact details, last-seen date, visits, spend and SMS and email consent.
Click any row to open that customer's detail panel.
Click Export these N to download the list.
The list shows up to 300 customers, highest 12-month spend first.
Repeat customer report
The Repeat customer report shows how many customers came back, for whichever period and store you choose. One set of Period and Store filters sits above this section and drives both this report and Purchase Trend below it. The Overview section above is not affected.
This section shows:
New vs returning by month: a chart of new and returning customers over time.
How returning customers are counted, including the percentage of transactions with no customer recorded (anonymous walk-ins).
A per-store breakdown of New, Returning, Repeat rate and Revenue from returning.
A customer counts as returning when they are identified at checkout and had already bought from you before the selected period began. A customer counts as new when their first purchase falls inside the selected period.
Purchase Trend
Purchase Trend shows what your customers actually bought, and lets you find exactly who bought a specific product.
Under Group purchases by, choose Product, Category or Modifier.
Use the ranked list, sorted by units sold, or the Search box to find an item. A headline at the top calls out the period's top seller.
Click a row (or View customers) to open its buyer list: quantity bought, spend, last purchase date and marketing consent for each customer.
Click Export customers to download the buyer list as a CSV, named after the item and period.
Purchase Trend covers up to one quarter at a time. If you select a wider period, you will see a Pick a shorter period message with a Show this quarter button. The Repeat customer report above still works for the wider period.
Setting your Period and Store
The default period is This month. If the page looks empty, try a longer period; this usually means there has not been much activity yet in the current one.
There are limits on very busy periods:
The Repeat customer report uses at most your most recent 50,000 transactions. If the period has more, a banner tells you the figures may be partial.
Purchase Trend uses at most the most recent 20,000 transactions. If the period has more, a banner asks you to choose a shorter period to see complete numbers.
Buyer lists load contact details for the top 600 buyers only. Narrow the period to see the rest.
Frequently asked questions
Why does Purchase Trend show lower numbers than my Sales by Product or Sales by Modifier report?
Purchase Trend excludes refunded or voided sales and credit or package top-ups, while the Full Report includes them. The Full Report tells you your takings; Purchase Trend is built for creating campaign lists, so it only counts completed product sales.
Does "New" mean a newly registered customer?
No. In the Reports tab, "new" means the customer's first purchase falls inside the selected period, not that they registered during it. Because of this, the count will not always match "New this month" on the Customers tab.
Why don't the Overview numbers reconcile with the sections below?
Overview tiles always use fixed 30-day or 90-day windows, regardless of the period you select for the Repeat customer report and Purchase Trend. They answer different questions, so they will not always line up.
What does "No customer tagged" mean in a buyer list?
This row (shown in red) represents units sold to walk-in customers who were not tagged to a profile at checkout. It is not clickable, since there is no customer record to open. The banner above the list shows what share of revenue this represents and links to the guide on recording customers at checkout.
What does "(Unknown customer)" mean in the lapse list?
The customer's profile was deleted, but their past transactions still exist. If every row in your lapse list shows this, spot-check a customer you know is still active. If their name resolves correctly, the rest of the list is working as expected.
A customer shows a phone number but no name. Is that an error?
No. The profile loaded correctly, but that customer does not have a name on file.
Why don't the SMS and email percentages add up to 100%?
SMS reach and email reach are two separate measures over the same total customer base. A customer can consent to both, one or neither, so the two percentages are not meant to sum to 100%.
What do Y, N and ? mean in the exported consent columns?
Y and N show whether the customer has given marketing consent (shown as SMS PDPA and Email PDPA in QashierHQ), not whether contact details are on file. A customer can have an email address on record and still show "N" if they have not opted in. A ? means the profile was not resolved at the time of export; it does not mean the customer opted out. Customers give or update consent when they register or edit their details on Qashier POS (PDPA Declaration and Marketing preferences).
What does "Customer reviews are not set up yet" mean, versus "No reviews in the last 90 days"?
"Not set up yet" means the reviews feature is not switched on for your account; follow the set-up link or see How to Set Up Customer Reviews (Google Reviews + Review Rewards) in QashierHQ. "No reviews in the last 90 days" means the feature is on, but no one has left a review recently. There is nothing to fix.
