Summary: A Payment Fee Surcharge adds a percentage to the bill when your customer pays with a particular payment method, so the customer pays that extra amount. You set a separate rate for each payment method in each store.

Applies to: Australia only. QashierHQ and Qashier POS version 20240124 or later. You need access to Settings in QashierHQ.

Important: card surcharges end on 1 Oct 2026

From 1 Oct 2026, eftpos, Mastercard and Visa do not allow surcharges on card payments, including credit, debit and prepaid cards. American Express and UnionPay have also removed surcharging from 1 Oct 2026. See the Reserve Bank of Australia's FAQs on the card surcharging changes.

Set the Payment Fee Surcharge (%) to 0 for every card payment method in each of your stores. In the list in QashierHQ, these are any of the following that appear:

eftpos
Visa/Mastercard
American Express
Visa/Mastercard Online (Adyen) and Visa/Mastercard Online (Fiserv)
Card Card - Fiserv
Visa Manual, Mastercard Manual, UnionPay Manual and the American Express manual method (shown as Amercian Express Manual)
Any custom payment method you created for card payments

QashierHQ does not block surcharge rates on these methods, so check them yourself. For any other payment method, check with that payment provider and the Reserve Bank of Australia guidance before you add a surcharge.

Before you start

Update Qashier POS to version 20240124 or later.
Surcharge rates are set per store. If you have several stores, set them in each store, even if Chain Store Management is turned on.
By default, the surcharge for every payment method is 0%.

Set up a Payment Fee Surcharge

In QashierHQ, click the Settings (gear) icon at the top right.
In the settings menu, under Store, click Basic Settings, and select your store. In the classic layout, click the Store Settings tab instead.
Below Service Charge(%), click Customise Payment Fee Surcharge.
The list shows the payment methods turned on for your store: automatic, manual and custom methods. For automatic methods, Your Current MDR shows the rate you are charged, to help you decide on a surcharge.
Enter a Payment Fee Surcharge (%) for each method you want to surcharge. Leave card payment methods at 0 (see above).
Click Save.
Refresh Qashier POS: exit to the POS main page, so the new rates take effect.

Tip: Make a test sale on Qashier POS to check that the surcharge is set up correctly.

What you should see

On Qashier POS, the surcharge is added to the final bill after you select the customer's payment method. The payment screen shows the total with, for example, $2.40 Payment Fee Surcharge Included. The surcharge also appears on the receipt and in QashierHQ.

Examples

These examples show how the surcharge is calculated. They are not advice on which payment methods you may surcharge.

Single bill

The bill is $120.00 and the customer pays with a method that has a 2% surcharge. The surcharge is 2% × $120.00 = $2.40, so the customer pays $122.40.

Split bill

Each part of a split bill gets the surcharge of the payment method used for that part. For example, a $53.00 bill is split into $25.00 and $28.00:

The first part is paid with a method that has a 2% surcharge: $25.00 × 1.02 = $25.50, which includes a $0.50 surcharge (2% × $25.00).
The second part is paid with a method that has a 3% surcharge: $28.00 × 1.03 = $28.84, which includes a $0.84 surcharge (3% × $28.00).

On Qashier POS, the printed receipt and the transaction in QashierHQ, the surcharges for the whole bill are shown as one amount ($1.34) above the total ($54.34). Each part's own receipt shows that part's surcharge.

Invoices

For invoices, you set the surcharge on the invoice itself:

In QashierHQ: go to Sales Channels > Invoice Management and create the invoice. Enter the Payment Fee Surcharge percentage. The invoice shows the Amount Before Surcharge and the Payment Fee Surcharge. See How to Create and Send an Invoice in QashierHQ.

The same card surcharge rules apply to invoices paid by card from 1 Oct 2026.

Where to see the surcharges you collected

Transaction export: in QashierHQ, go to Money & Finance > Transactions > Export > Transaction Details. The file has a Payment Fee Surcharge column with the surcharge for each transaction. See How to Export Transactions to Excel in QashierHQ.

Full Report in QashierHQ: go to Money & Finance > Full Report. On the Overview tab, in the Revenue card, click Total Sales to expand it. The Total Payment Fee Surcharge for the period is listed there.
Reports on Qashier POS: go to Reports > Sales Information and expand Total Sales. Total Payment Fee Surcharge is listed with Net Sales. Total Sales is Net Sales plus Total GST and Total Payment Fee Surcharge, minus Total Redeemed Point Amount, plus or minus Total Rounding.

If something goes wrong

If I have more than one store, does the surcharge setup apply to all of them?	No. It is set per store. Even with Chain Store Management turned on, set the surcharge for each store separately.
