Use stock actions in QashierHQ to record ingredient stock you receive, write off damage or loss, reset a count after a physical stock count, and set the level at which an ingredient is flagged as low stock. This is for F&B merchants who use Ingredient Management.
Applies to
Markets: All markets
Product: QashierHQ (hq.qashier.com)
Plan or add-on: Ingredient Management must be enabled for your store
Access: a QashierHQ login with access to Inventory / Ingredient
Before you start
Create your ingredients first. See How to Add, Edit and Delete Ingredients in QashierHQ.
Assign each ingredient to the products that use it, so that sales deduct it automatically. See How to Assign Ingredients to Products (Deduct Ratio) in QashierHQ.
If the Ingredient tab shows an introduction page with an Activate, Compare plans or I'm interested! button, Ingredient Management is not enabled for your store yet.
Apply a stock action
Log in to QashierHQ. In the left menu, under Products & Inventory, click Inventory / Ingredient.
Click the Ingredient tab and select your store at the top of the page.
Click the ingredient name. A panel opens on the right showing In stock, Threshold, Unit cost and Stock value.
Under Stock action, click the action you need. The table below explains each one.
Enter the number in the Quantity field, in the ingredient's own unit (for example grams or pieces). For Reset To Number the field is called Set stock to; for Set Alert Threshold it is called Threshold value.
Optional: type a note in Details (optional), for example "Supplier delivery". The note appears in the ingredient's stock history. If you leave it blank, the history shows the action name instead. This field is not shown for Set Alert Threshold.
Click Apply.
What each stock action does
Stock action | Adds or subtracts | When to use it |
Stock Received (+) | Adds the quantity | A delivery from your supplier has arrived |
Damage/Loss/Theft (−) | Subtracts the quantity | Stock was damaged, spoiled, lost or stolen |
Restock Return | Adds the quantity | Stock came back into the kitchen, for example a return |
Reset To Number | Sets the count to the number you enter | After a physical count, when the figure in QashierHQ is wrong |
Others (+) | Adds the quantity | Any other increase. Add the reason in Details |
Others (−) | Subtracts the quantity | Any other decrease. Add the reason in Details |
Set Alert Threshold | Does not change the stock | Sets the level at which the ingredient is marked Low stock |
Enter quantities as positive numbers. QashierHQ adds or subtracts according to the action you picked. Decimals down to 0.001 are accepted.
Record the unit cost when stock arrives
If the store setting Auto Calculate Product Cost When Stock In is turned on, Stock Received (+) shows an extra field, New unit cost, in your store's currency. It is optional.
Enter what you paid per unit for this delivery. QashierHQ recalculates the ingredient's Unit cost as a weighted average of the stock you already had and the new delivery, rounded to 2 decimal places.
Example: you have 10 kg of flour at a unit cost of 2.00 and receive 10 kg at 3.00. The new unit cost is 2.50.
Leave the field blank to keep the current unit cost.
Quick edit: change the In Stock number directly
On the Ingredient tab, click the number in the In Stock column.
Type the new figure and save.
QashierHQ works out the difference for you. An increase is recorded in the stock history as Stock Received (+); a decrease as Damage/Loss/Theft (-). Use a stock action instead when you want to pick the reason or add a note.
Set a low-stock threshold
Click the ingredient name, then click Set Alert Threshold under Stock action.
Enter the Threshold value and click Apply.
Each ingredient shows a coloured dot in the Status column:
Healthy (green): In Stock is above the threshold.
Low stock (amber): In Stock is at or below the threshold. A threshold of 0 means the ingredient is never marked Low stock.
Out of stock (red): In Stock is 0 or below.
The cards at the top of the page count the ingredients that are Total tracked, Healthy stock, Low stock and Out of stock. Click the Low stock card, or use the filter in the Status column, to see only the ingredients that need restocking. For alerts on Qashier POS and by email, see How to Set Up Low Stock Alerts (POS, QashierHQ and Email).
What you should see
After you click Apply, a Stock updated message appears and the In stock figure in the panel changes.
Stock history at the bottom of the panel lists every change with its Date, Change and Details. Click Load more to see older entries, or Export to download the history as a CSV file.
Sales on Qashier POS deduct ingredients automatically, based on each product's Deduct Ratio. When a sale is voided, the POS asks whether to add the ingredients of the voided items back.
If you switched QashierHQ to the classic view with Switch to classic UI in the top bar, the same actions are in the Stock Action drop-down inside the ingredient dialog.
If something goes wrong
Symptom | Cause | Fix |
Apply is greyed out | The quantity field is empty | Enter a number, then click Apply |
"Failed to update stock" | The change did not reach the server, usually a connection problem | Check your internet connection. Look at Stock history before you click Apply again, so you do not record the change twice |
The ingredient is not in the list | The wrong store is selected | Change the store at the top of the page |
An ingredient that is running low still shows Healthy | No threshold is set (it is 0) | Use Set Alert Threshold to set one |
Sales do not reduce the ingredient | The ingredient is not assigned to the product, or its Deduct Ratio is 0 |
