Summary: Export your staff's time card records from the QashierHQ Time Card page as a CSV file, for payroll or your own records.
Applies to: All markets. QashierHQ (web). You need a QashierHQ login with access to Time Card.
Before you start
The time card must be turned on for your store. If the Time Card page shows Add-on · not yet enabled, it is not on yet. See How to Clock In/Out and View Time Card Records on Qashier POS.
Fix missed clock-outs and wrong times before you export for payroll. See How to Edit, Void or Review Staff Clock In/Out Records in QashierHQ.
Choose what to export
The period you choose on the page decides what the file contains:
Period and mode | What you get |
Day | One row per shift on that day, with clock in and clock out times. |
Week (7 days from the date you pick) or Custom | One row per shift, with the date and time of each clock in and clock out. |
Month with Mode set to Summary | One row per employee: Employee, Number of Records, Total Hours Worked and Total Wages Due. |
Month with Mode set to Detailed | One row per shift, with the date and time of each clock in and clock out. |
Shift rows have the columns Employee, Clock In, Clock Out, Hours Worked, Hourly Wage and Total Day Wage.
Export the report
Log in to QashierHQ. In the left menu, under Operations, click Time Card.
Select the store in the store picker. If you have more than one store, you can turn on All stores to include every store.
Choose Day, Week, Month or Custom, then use the arrows or the date to pick the period. For Month, also choose the Mode.
Click Export at the top right.
In the Export as CSV window, check the store and period, then click Confirm.
What you should see
A file named Time Card (store name, period).csv downloads to your browser's Downloads folder. Some browsers ask where to save it. The report is a CSV file, which you can open in Excel, Google Sheets or Numbers.
Sample time card report (Day):
How the numbers are worked out
Hours are rounded down to the nearest quarter hour. 0–14 minutes = 0.00, 15–29 minutes = 0.25, 30–44 minutes = 0.50, 45–59 minutes = 0.75. For example, 10:00 to 13:14 = 3.00 hours, and 10:00 to 13:15 = 3.25 hours.
Wages = hours worked × the staff member's hourly rate at the time they clocked out. Set the hourly rate in Staff Management.
Voided records are not included.
Open shifts (no clock out yet) have a blank clock out, hours and wage.
If something goes wrong
Symptom | Likely cause | What to do |
There is no Export button | The time card is not turned on for this store | Turn it on first (see Before you start). |
A shift shows 0 hours | The shift was shorter than 15 minutes (hours are rounded down) | Check the clock in and clock out times. Correct them in QashierHQ if they are wrong. |
A shift has no clock out, hours or wage | The staff member did not clock out | Set the clock-out time in QashierHQ, then export again. |
Wages are 0.00 | The staff member had no hourly rate when they clocked out | Set the Hourly rate in Staff Management. This applies to future shifts; shifts already clocked out keep the rate from when the staff member clocked out. |
You need one employee's shifts only | Shift exports include every staff member | Export Month with Mode set to Detailed, then filter the file by Employee in your spreadsheet. |
