Understanding Your Sales Report: Net Sales, Gross Sales, Tax and Discounts Explained

This article explains the figures in your Qashier sales report, such as Total Sales, Net Sales, Gross Sales, discounts and tax, and shows how they are calculated with one worked example. Use it when the numbers on your report do not look the way you expect.

Where to find these figures

  • QashierHQ: in the left sidebar, open Money & Finance and select Full Report. On the Overview tab, the Revenue card shows Total Sales with its breakdown. Click the (i) icon next to a figure for its definition.

  • Qashier POS: on the home screen, tap Reports. Under Sales Information, tap the arrow next to Total Sales to expand the breakdown, and tap the (i) icon for a definition. See How to View the Sales Report on Qashier POS.

What each figure means

Total Sales

Net Sales + Total GST/SST/VAT + Total Payment Fee Surcharge (Australia only) − Total Redeemed Point Amount ± Total Rounding. This is the amount your customers paid.

Net Sales

Gross Sales − Total Discount Given + Total Service Fee. In QashierHQ, Total Refund is also subtracted.

Gross Sales

The sum of all product and modifier original prices, excluding tax.

Total Discount Given

The sum of all item-level and bill-level discounts.

Total Service Fee

The sum of all transactions' service fee (service charge).

Total GST / Total SST / Total VAT

The sum of all transactions' tax. The label follows your market (see below).

Total Payment Fee Surcharge

Payment fee surcharges your customers paid, set per payment method. Australia only. See [AU] How to Set Up a Payment Fee Surcharge.

Total Redeemed Point Amount

The total point value redeemed by customers. Points pay for part of the bill, so this amount is shown as a negative value.

Total Rounding

The total rounding applied to cash transactions.

Total Refund

The amount refunded to customers in the period. QashierHQ only.

Tipping Amount

Tips collected in the period.

Total Cost and Gross Profit

Your product cost and the profit after that cost. Shown in the QashierHQ Full Report only; the figures are only accurate when your product costs are set. The Qashier POS report does not show cost or profit.

Total Commission

Staff commission earned in the period. Shown only when staff commission is turned on for your store.

Unpaid Transactions

The value of transactions that are still unpaid.

How tax is calculated

Tax is calculated on the price after item-level and bill-level discounts and after any points redemption. In most markets the service charge is also taxed. Worked example

The example below uses a Singapore store whose prices exclude tax, with 9% GST and a 10% service charge. Amounts are in SGD. Your market's tax rate, tax name and currency differ, so use the example for the method, not the figures.

Total Sales (13.43) is the total printed on the customer's receipt.

If your prices include tax: the report still shows Gross Sales excluding tax, and Total Sales is still the amount the customer paid. The tax is worked out from the discounted, tax-inclusive amount.

How bill-level dollar discounts are spread across products and modifiers

A bill-level dollar discount is shared out by weight. Each product's or modifier's weight is its price after item-level discounts divided by the order total after item-level discounts. In the example, the order total after item-level discounts is 14.00 and the bill-level discount is 2.80.

The shares always add up to the full bill-level discount. This is why the figures in Sales by Product, Sales by Category and Sales by Modifier reflect bill-level discounts even though the discount was applied to the whole order.

  • A bill-level percentage discount reduces every product and modifier by the same percentage.

  • An item-level dollar discount on a product with modifiers is split between the product and its modifiers by the same weight method.
