Use an exchange to swap an item in a completed sale for another product, for example when a retail customer wants a different size or colour. You do it from Transaction Record in Qashier POS, and Qashier updates the sale and your stock.

Before you start
Turn on exchanges in QashierHQ: go to Settings > Additional Settings > Product Settings and tick Enable product exchanges after sale. Until this is on, tapping an item in a past sale does nothing.
You cannot exchange items in a voided transaction.
Exchange only for an item of the same price. The exchange does not take a payment or give a refund for any price difference. To exchange for an item with a different price, void the sale and ring up a new one (see below).
Make sure the new item is physically in stock before you confirm the exchange.
Exchange an item
On Qashier POS, tap Transaction Record.
Find the original sale. Choose the date range of the purchase, or search by the receipt number or the last 4 digits of the customer's card in the Receipt Number / Card Number search.
Open the sale and tap the item the customer is returning.
A warning asks whether you want to exchange this item and reminds you that the new item should have the same price. Tap Yes.
The Exchange Item sheet opens. Search for the new product by name, or tap the scanner icon and scan its barcode.
Tap the new product. When asked to confirm the exchange, tap Yes.
Exchange successful. appears, and the sale now shows the new item.
Note: Each exchange swaps one unit. If the customer bought 3 of the same item and wants to exchange 2, repeat the steps twice.
What you should see
The sale in Transaction Record lists the new item in place of the returned one.
If you track stock for these products, the returned item's stock goes up by 1 and the new item's stock goes down by 1 as soon as you confirm.
Exchanging for a different price, or several items
For a price difference, several items or a partial return:
Void the original sale. See How to Void or Refund a Transaction in Qashier POS.
Ring up a new sale with the items the customer is keeping or taking, and take payment as usual.
Voiding a sale after an exchange may not undo the exchange's stock changes. After you void, check the stock of both items and correct it if needed. See How to Adjust Stock Count with Stock Actions on Qashier POS.
If something goes wrong
Symptom | Likely cause | What to do |
Tapping an item in a past sale does nothing | Exchanges are turned off, or the sale was voided | Tick Enable product exchanges after sale. in QashierHQ (see Before you start). Voided sales cannot be exchanged; ring up a new sale instead. If the setting is on and the sale is not voided, contact support: exchanges are not available for some stores with very large product catalogues. |
You can't find the original sale | The date range is too narrow | Choose a wider date range. If you know roughly when the customer bought the item, select that period and scroll the list. |
Searching by item name or barcode finds nothing | Transaction Record search only matches receipt numbers and card digits | Ask the customer for the receipt number (printed on the receipt). If they paid by card, search by the last 4 digits of the card. |
The sale was made at another counter | The POS is logged in to a different outlet | Make sure the POS is logged in to the outlet where the sale was made. Sales from other terminals in the same outlet appear automatically; sales from another outlet do not. |
