Summary: A QashierHQ user account is an email address and password that lets one person log in to hq.qashier.com. The account created when you signed up is the owner account and can see everything. Extra accounts for managers, accountants or staff are created by Qashier, with access rights that limit which pages each person can open. Your plan includes a set number of HQ users; more can be added as an add-on.
Applies to: All markets · QashierHQ. Staff PINs on Qashier POS are separate: see How to Add, Edit or Delete Staff in QashierHQ for POS staff.
Before you start
One email address = one HQ account. Each person who needs their own login needs their own email address.
Decide which stores and which pages each person should see. Access rights are set per user by Qashier when the account is created and can be changed later on request.
How access rights work
The owner account sees every page that is switched on for your stores.
A restricted user sees only the pages they have been given. Pages they cannot open are hidden from the left menu, and opening a direct link to one shows an Access Restricted page (Please reach out to your manager to request permission.). QashierHQ opens on Full Report after login, so a user without that right sees this page first and then opens their pages from the left menu.
Access rights follow the left-menu pages. Examples: Daily Dashboard, Sales Dashboard, Full Report, Transactions, Payment Management and Payout Report, Account Balance, Cash Management, Product Management, Inventory / Ingredient, Discount Management, Customer Management, Customer Survey Results, Staff Management, Time Card, Table Management, Online Ordering, Invoice Management, Pay by Link, Qashier Marketplace and Settings. In the Philippines, Z-Reading Report and BIR Audit Report are separate rights.
A page can also be missing because the feature is not switched on for any of your stores (it then shows locked in the menu), or because it is not available in your market. That is not an access-right problem.
Users reset or change their own password: see How to Reset or Change Your Qashier Password. If your Qashier POS terminals log in with the owner account, use the new password when a terminal asks you to log in again.
How many HQ users your plan includes
Market | Included | Adding more |
Singapore | Up to 3 HQ users per store on the current Qashier plan; the multi-outlet plan has no limit | Quoted by the Qashier team |
Philippines | The pricing article lists the Additional QashierHQ user add-on as "1 free per store" | Additional HQ user add-on, billed monthly: see Qashier Pricing Plans and Add-ons (Philippines) |
Thailand | Depends on your plan | Additional HQ account add-on, billed yearly; ask support for the price |
Malaysia and other markets | Depends on your plan | Ask support |
Merchants on an older plan keep the user allowance of that plan.
Request a new user, change access or remove a user
Contact Qashier Support from the owner account or through your account manager.
For a new user, give: the person's name, their email address, the stores they may see, and the pages they may open (from the list above). For a change, say which user and which pages to add or remove. To remove a user, give the email address to deactivate.
Qashier creates or updates the account. The new user then sets their own password with the forgotten-password link on the QashierHQ sign-in page and logs in at hq.qashier.com.
If the business changes owner, the accounts stay with the old company's data: see Changing Company or Business Owner: What Happens to Your Sales Data and Terminals.
What you should see
The new user can log in with their email and sees only the pages you asked for in the left menu.
Their name shows at the top right; its menu has Profile and Logout. Settings is the gear icon next to it (on a phone-sized screen, it is inside the account menu) and opens only for users with the Settings right.
If something goes wrong
Symptom | Likely cause | What to do |
Access Restricted when opening a page | The user does not have that access right | Ask the owner to request the right from support |
A page is missing from the left menu | No access right, or the feature is not switched on for any store | Check whether the owner sees it; if not, activate the feature in Qashier Marketplace |
Cannot log in | Wrong password, or the account has not been created yet | Use the forgotten-password link on the sign-in page; if no reset email arrives (check spam too), the address may not be registered yet: contact support |
Need more users than the plan includes | Plan limit reached | Ask support for the add-on for your market |
Two people share one login | Only one account was created | Request a second account so each person has their own password and access rights |
