[SG/MY] Brand Groups for Multi-Outlet and Franchise Brands: How It Works

How a brand group links the outlets of a multi-outlet or franchise brand in QashierHQ: combined reports with the All outlets switch, settings managed by the main outlet, and view-only access.

Summary: A brand group links the QashierHQ accounts of every outlet in a multi-outlet or franchise brand, so head office can view combined reports across all outlets, keep brand-wide settings in one place (the main outlet) and give some users view-only access to an outlet.

Before you start

  • A brand group is set up by the Qashier team, not from QashierHQ. It has one main outlet and any number of member outlets. Ask your account manager to set it up and to add the people who need a franchise login.

  • Brand groups are different from Chain Store Management. Chain Store Management runs several stores inside one QashierHQ account with one shared product list. A brand group connects outlets that each have their own QashierHQ account, which is how most franchises are set up. See Chain Store Management: Managing Multiple Stores in QashierHQ.

  • Know which outlet is your main outlet. Brand-wide settings can only be changed there.

What you see in QashierHQ as a franchise user

  1. Log in to QashierHQ with your franchise login. The top bar shows Acting as followed by the outlet you are working in. When you are in the main outlet, a Main outlet tag appears next to the name.

  2. Use the Store selector to move between outlets. Everything on the page then refers to the outlet you selected.

View combined reports across all outlets

  1. Open Full Report from the sidebar, or open Daily Dashboard (the "Here's your day so far" page).

  2. Find the This outlet / All outlets switch next to the store selector. It only appears for franchise users of a brand group.

  3. Select All outlets. The report now adds up every outlet in the brand group ("Aggregate performance across every outlet in this brand group"). The Store selector is greyed out while this scope is on.

  4. Select This outlet to go back to a single outlet.

In Customer Management, a customer's transaction history also spans the brand: the page shows the banner "Showing transactions across all outlets in this brand group." and an Outlet column tells you where each transaction was made.

Settings managed by the main outlet

Some settings are shared by the whole brand and can only be changed in the main outlet. In a member outlet they are greyed out, and a notice says they are managed by your brand's main outlet:

  • CRM Settings: Allow Edit Credit and Enable Customer Address as additional property for CRM. The notice reads "This setting is managed by your brand's main outlet. To change it, switch to the main outlet." The other CRM settings are still set per outlet.

  • Promotion Settings: Customer can earn the remaining amount of bill after point redemption, with the same notice.

  • Treats Explorer: Points Expire After. The notice reads "Points expiry is managed by your brand's main outlet. To change it, switch to the main outlet."

  • Spotlight (Free Website Builder): the whole Spotlight site is set up once for the brand at the main outlet. The notice reads "Managed by your brand's main outlet".

If your login also has access to the main outlet, the notice shows an Edit at main outlet button. Click it to switch to the main outlet, make the change there, then use the Store selector to switch back.

View-only (read-only) access to an outlet

A brand can give a user read-only access to an outlet, for example an auditor or a franchisor reviewing a franchisee. Read-only access is set up by Qashier on request from the brand's admin.

  • A user with read-only access sees a yellow banner at the top of every page: "View Only — you have read-only access to this outlet. Contact your franchise admin to request write access."

  • Buttons that would change data (for example creating or editing a customer) are greyed out and show "Read-only access. Contact your admin to request write access." when you hover over them.

  • Reports, transactions and customer records can still be viewed.

What you should see

  • With All outlets selected, Full Report totals equal the sum of every outlet in the brand group for the chosen period.

  • A change made to a shared setting in the main outlet applies to every member outlet.
