How to void/refund transactions made via QashierXS (White) payment terminal

Before voiding a transaction/processing a refund for payments made through your QashierXS (White) payment terminal, it is important to consider two scenarios below:


Scenario 1: If you have not made a settlement on your QashierXS (White) terminal

In such a scenario, you can void the transaction/make a refund on the QashierXS (White) terminal by following the steps below:

Step 1: Select TRANSACTION RECORD on the POS homepage.

Step 2: Select a transaction that needs to be refunded to the customer.

💡Tip: You can select the appropriate date of the transaction using the calendar icon at the top left.

Step 3: Tap on VOID/REFUND.

Step 4: Select YES to confirm voiding the transaction.

Step 5: Enter the STAFF PIN, followed by the TERMINAL PIN.

Step 6: Enter the REASON for refunding the transaction, then select "OK".

The transaction is now voided and the amount will be automatically refunded to the customer's card.

💡Tip: Depending on the customer's bank, the refund can take 2-3 working days to reflect on the customer's statement.


Scenario 2: If you have already made a settlement on your QashierXS (White) terminal

In such a scenario, it would not be possible for you to refund the money back to the customer's credit card via the QashierXS (White) terminal.

You do not need to void the transaction on your QashierXS (White) terminal. However, the refund to the customer must be made in cash.

📌 Note: As the payouts are settled and paid out in bulk, if a customer requests a refund after you have made a settlement on your QashierXS (White) terminal, the credit card transaction fee incurred by you will still apply.
