Here's a step-by-step guide to your BIR POS Registration

Step 1

Fill out the BIR Registration Form. Click the button below to proceed:

If applicable, pay the BIR Registration Fee = PHP 4,480 per device (P4000 + 12% VAT).

For Non-VAT entities, no need to pay for 12% VAT. Send us your BIR 2303 as Non-VAT entity.

Prepare the following information:

Corporations/Partnerships

  • SEC Certificate

  • BIR Registration Form 2303

  • VAT or Non VAT

  • Existing BIR eAccReg account? Yes or No

  • Name of Authorized Signatory

    • First Name

    • Middle Name

    • Last Name

  • TIN of Authorized Signatory

  • Valid ID of the Authorized Signatory

  • Contact Person, Email and Contact Number

  • Serial Number(s) of POS

  • Delivery details for the Permit to Use stickers: Complete Address, Postal Code, Contact Person, Email, Mobile Number

For multiple branches:

  • Send the same requirements per branch

  • SEC Certificate can be same per branch

  • DTI Certificate

  • BIR Registration Form 2303

Step 2

After 1 to 3 days: Receive documents from Qashier via email.

  1. Sworn declaration - Print 4 copies, sign and notarize

  2. Sworn statement - Print 4 copies, sign and notarize

  3. BIR Permit Registration - Print 2 copies

  4. Email confirmation from BIR - Print 1 copy

Step 3

Within 3 days: Go to your local BIR RDO and submit the documents from Step 2 along with your BIR Certificate 2303. The 3-day window period includes weekends.

Keep 1 copy of the Sworn Declaration & Statement with BIR's stamp "RECEIVED".

Step 4

After 7 to 14 days:

Receive confirmation from the Qashier team that accreditation has been approved.

Inform Qashier of the preferred start date of BIR compliance.

Step 5

After 3 to 10 days: Receive the BIR Permit to Use stickers from the Qashier team via courier.

Frequently Asked Questions

How long is the BIR accreditation process?

7 to 14 days. This does not include the shipping time of the BIR permit stickers.

How much is the BIR accreditation?

PHP 4,000 per device + VAT

If the BIR accreditation needs to be refiled, fees have to paid again.

What is the fee for?

The fee is for:

  • Printing, laminating and delivery of the decals

  • Processing of the registration on the side of the POS supplier (This is a mandatory step in the BIR POS registration process).

What happens after submitting the requirements?

Within 1 to 3 business days, you will receive the following documents from Qashier:

  1. Sworn declaration - Print 4 copies, sign and notarize

  2. Sworn statement - Print 4 copies, sign and notarize

  3. BIR Permit Registration - Print 2 copies

  4. Email confirmation from BIR - Print 1 copy

Note: The merchant needs to print, sign, and notarize these documents, and bring it to BIR for processing and approval.

Does the merchant need to go to RDO as part of the process?

Yes. All taxpayers with POS are prescribed to use the eAccReg system (as per BIR memorandum circular 45-2014). To use eAccReg, the merchant must personally submit required documents directly to the RDO to activate and inform your RDO that you have a POS to be registered.

You need to bring the following documents to your RDO:

  1. Sworn declaration - Print 4 copies, sign and notarize

  2. Sworn statement - Print 4 copies, sign and notarize

  3. BIR Permit Registration - Print 2 copies

  4. Email confirmation from BIR - Print 1 copy

Note: You may also send an authorized representative to go to your BIR RDO.

How do we know if the POS is already approved by BIR?

You will receive an email notification from us once it has been approved. Usually, this takes 7 to 14 days after your appearance at your BIR RDO, if all goes well.

What happens after the accreditation has been approved?

  1. Merchant needs to inform Qashier of the preferred start date of BIR compliance.

  2. All your existing data (just the transactions) in the POS needs to be deleted. Your menu and all other data will be kept.

  3. The receipt printed out of the POS will be an official receipt.

  4. You will receive the BIR "Permit to Use" sticker via courier which you need to attach to the POS.

  5. You need to sign up to BIR eSales portal where you will upload your monthly sales from the POS.

I have an existing POS from another supplier. Do I need to cancel my existing BIR Permit before applying my Qashier POS to BIR?

For most cases, there is no need to cancel the BIR permit from your previous supplier.

Can Qashier assist me on the BIR eSales portal and process?
