Cash Rounding on Receipts and Reports: How It Works

When Qashier POS rounds a cash payment, the rounding rule for each country, and how the Rounding and Total Rounding lines affect receipts and sales reports.

Summary: When a customer pays in cash (in Malaysia, with any payment method), Qashier POS rounds the amount payable so it matches the smallest coin used in your country. The difference appears as Rounding on the receipt and in the Transaction Record, and as Total Rounding in your sales reports. This article explains when rounding happens, the rule for each country and how it affects your totals.

When rounding applies

  • Singapore, Philippines, Thailand and Australia: only when the customer pays by Cash. Card, QR and other payment methods are charged to the cent.

  • Malaysia: the rounded amount applies to every payment method (cash, card, QR), except when paying an invoice.

  • Rounding is not applied on terminals in payment-only mode.

  • Split bills: each part is rounded on its own when it is paid in cash (in Malaysia, whatever the payment method). See How to Split a Bill Into Parts in Qashier POS.

Where you see it

  • Payment screen: in Malaysia the total shows the rounding on a second line, for example "(Rounding: +0.02)". In other countries the rounded amount is shown after you choose Cash.

  • Receipt: a Rounding line between the total and Cash Received / Change.

  • Transaction Record on the POS and Transactions in QashierHQ: a Rounding line in the transaction details.

  • Reports: Total Rounding in the POS sales report and in the Full Report sales information in QashierHQ.

How rounding affects your totals

In the Full Report, Total Sales = Net Sales + Total tax + Total Redeemed Point Amount + Total Cash Rounding. Rounding is therefore included in Total Sales (what customers actually paid) but not in Net Sales or Gross Sales, and it does not change the tax on the sale. In Singapore the rounding line is always shown with a minus sign because the POS only rounds down. When a transaction is voided, the rounding is reversed with it.
