Booking Module: Setup and Operations Guide
The Booking Module turns Qashier into a fully integrated salon operations system. Bookings are now connected to your Staff Management, Product Management, and POS, making it easy to manage appointments from the moment customers book online to when they arrive for their appointment.
Initial Setup
General Settings & Store Configuration
Start by configuring your booking settings and store information. This controls how your business appears to customers and which features they can access when booking.
1. Shareable Booking Link
You can create a public booking link that customers can access directly to book appointments with you. This link is unique to your store and can be shared on your website, social media, or sent to customers via email.
Navigation path: QashierHQ → Booking (left menu) → General Settings → Booking Link section
In QashierHQ, click "Booking" from the menu on the left side of the screen.
Go to the "General Settings" tab.
Look for the "Booking Link" section—you'll find your unique shareable URL there.
You can copy this link and share it with customers, or customize it further if needed.
2. Store Information & Booking Modules
Set up your store details and enable the booking features you want customers to access. This controls which services and features are visible in your public booking link.
Navigation path: QashierHQ → Booking (left menu) → General Settings → Store Information section
In the General Settings, locate the "Store Information" section.
Add your store name, description, and any other details you want customers to see.
Below that, you'll see "Booking Modules"—toggle which modules (Services, Sessions, Staff) you want to enable for customers.
Save your changes when you're done.
Scheduling & Sessions
Create Time Slots for Customers
Sessions are the time slots that customers can book. You can create recurring sessions (like "Monday mornings 9am-12pm") or one-time sessions. This section controls when your business is available for bookings.
Navigation path: QashierHQ → Booking → Sessions tab
Click on the "Sessions" tab in the Booking menu.
Click the "Add Session" button to create a new time slot.
Set the day, time, and capacity (how many customers can book in that slot).
Save your session—it will now appear for customers to select when booking.
Staff Management
Set Up Your Team
Your staff members are the backbone of your booking system. You'll create staff profiles, set their availability, and link them to services so customers can book with the right person.
1. Create Staff Profiles
Navigation path: QashierHQ → Booking → Staff tab
Click on the "Staff" tab in the Booking menu.
Click "Add Staff" to create a new staff member profile.
Enter their name, email, and any other details.
Save the staff member—you can now link them to services and set their hours.
2. Set Operating Hours
Set when each staff member is available for bookings. You can create different schedules for different days and even block off vacation days or breaks.
Navigation path: QashierHQ → Booking → Staff tab → Select a staff member → Operating Hours
Select a staff member from the list.
Click "Operating Hours" to set their availability.
Add time slots for each day they work (e.g., Monday 9am-6pm, Tuesday 9am-6pm).
You can also mark days off or add break times.
Save when you're finished—customers will only see these hours as available for booking.
3. Add a Staff Booking Calendar
The staff booking calendar shows each team member's availability in an easy-to-read format. Customers can use this to find open slots and book directly with their preferred staff member.
Navigation path: QashierHQ → Booking → Staff tab → Select a staff member → Booking Calendar
Select a staff member from the list.
Click "Booking Calendar" to view their availability.
The calendar shows all their open and booked time slots.
You can manually block or open time slots here if needed.
Services & Offerings
Create Services and Link to Staff
Services are what you offer (haircuts, treatments, consultations, etc.). You'll create services, link them to your products and staff, and enable customers to book them online.
1. Set Up Services
Navigation path: QashierHQ → Booking → Services tab
Click on the "Services" tab in the Booking menu.
Click "Add Service" to create a new service.
Enter the service name, description, duration, and price.
Link this service to the products it uses (this helps with inventory and costing).
Save your service—you'll now be able to assign staff to it.
2. Assign Staff to Services
Once you have staff and services, link them together. This tells customers which staff members can provide each service and when they're available.
Navigation path: QashierHQ → Booking → Services tab → Select a service → Assign Staff
Click on a service to open it.
Click "Assign Staff" to link staff members to this service.
Select the staff members who can provide this service.
Save your changes—those staff members will now appear as options when customers book this service.
3. Show or Hide Modifiers
Modifiers are add-ons or variations of a service (like "add highlights," "upgrade to deluxe," etc.). You can choose whether customers see these options when booking online.
Navigation path: QashierHQ → Booking → Services tab → Select a service → Modifiers section
Open a service and scroll to the "Modifiers" section.
Toggle on/off which modifiers you want customers to see.
Save your changes.
Daily Operations
Managing Bookings on Your POS
Once customers start booking, you'll manage those appointments right from your POS system. This makes it easy to track who's coming in and when, and to process their payment and services on the spot.
Navigation path: Qashier POS → Bookings section
Open your Qashier POS on the tablet or register.
Look for the "Bookings" tab to see all upcoming appointments.
When a customer arrives, click on their booking to start their transaction.
The system will show you the services they booked, and you can add any additional items or modifiers.
Complete the sale and the booking is marked as done.
Contacting Your Customers
Stay connected with your customers before and after they book. You can send reminders, confirmations, or reschedule appointments directly from your POS.
Navigation path: Qashier POS → Bookings section → Select a booking → Contact Customer
Find the customer's booking in your Bookings section.
Click on their name or the booking to open the details.
You'll see options to call, text, or email them directly.
Use this to confirm appointments, reschedule if needed, or share any updates.
FAQs & Troubleshooting
Q: Can customers reschedule their own bookings?
Yes. When a booking confirmation is sent to customers, it includes a link where they can reschedule or cancel their appointment themselves. This reduces back-and-forth messages and gives them control.
Q: What happens if a customer doesn't show up?
You can mark a booking as a "no-show" in your POS. This helps you track patterns and decide whether to require advance payment or deposits for future bookings.
Q: Can I set a buffer time between appointments?
Yes. When you create a service, you can set a prep time or buffer—the system will automatically block off that time between bookings for cleaning, setup, or staff breaks.
Q: How do I sync my booking calendar with Google Calendar or Outlook?
You can integrate your bookings with your personal calendar through settings. This lets your staff see their Qashier bookings alongside personal events in their own calendar app.
